Job Description The Mail Clerk performs general clerical work in support of the central receiving & mailing/shipping area at USF Sarasota-Manatee. The position is responsible for processing outgoing packages as requested by campus departments, properly metering outgoing postal letters and packages, completing various mail projects for departments, recording incoming mail and packages, collecting and distributing campus mail, filing hard‑copy documents and maintaining records, and/or running varied errands.
Responsibilities
Drive to and from the USF Tampa campus anywhere from 1 to 3 times per week. Deliver mail to Rozkamp Labs one time per week.
Receive, sort, case, and process incoming mail.
Weigh, meter, bundle and sort outgoing mail according to US Postal Service requirements in preparation for inter‑campus delivery or delivery via the USPS.
Process Undeliverable‑As‑Addressed (UAA) mail.
Organize and deliver mail to offices and departments.
Pick up mail from main collection points such as drop boxes at specified times.
Complete special mailing projects for departments or colleges.
Receive, sign for, and record overnight/priority mail and prepare outgoing mail and occasional UPS shipments.
Assist with unloading delivery trucks.
Sort incoming mail for delivery.
Stock mail‑room supplies and verify goods received against shipping invoices.
Perform inter‑departmental courier duties for confidential or time sensitive packages.
Assist in basic maintenance of sorting/processing machines.
Assist with daily record keeping such as assigning postage from metered mail to a specific department or account code.
Perform other miscellaneous duties as requested or needed.
Office Support
Cover the Copy Center as needed. Duties include delivering copy paper to approximately 20 machines located in workrooms around the building, answering phone calls, and helping users make copies.
Cover for the Postal Supervisor as needed due to sick leave and vacation.
Fiscal Support
Assist the Postal Supervisor with invoicing departments for monthly usage of postage.
Use Pcard (USF procurement card from Visa) to purchase gasoline and repairs for the Courier van.
Other duties as assigned
Special Projects.
Qualifications
Minimum: High school diploma.
Intermediate level computer skills – able to use the Internet, Outlook, Word, Excel, and other software applications.
Valid Florida Driver's License.
Physical requirements: Stand, sit, stoop, kneel, bend, lift heavy objects such as bins/bundles of mail; use a hand cart to move heavy packages (up to 70 pounds for USPS and up to 100 pounds for FedEx); walk around building for up to one hour; copy‑center duties require lifting a box of copy paper (~40 pounds) on a cart; remove reams individually if necessary (5 pounds); bend, lift, pull & push copy drawers; push cart; stand at machines to make copies, laminate, staple, punch holes; drive the golf cart.
