Position Summary
We are looking for a full-time Intake Specialist with 1-2 years of experience working at a Personal Injury law firm to join our growing team! Our office is located right at the intersection of Highland and Rosecrans in Manhattan Beach, with a beautiful view of the beach right from our windows. The Strand and the sand are just a two-minute walk away and offer a great way to spend your lunch break!
Essential Duties and Responsibilities As an Intake Specialist at our Firm, your responsibilities will include (but may not be limited to):
Report to the Chief Operating Officer
Field calls from prospective clients with professionalism and empathy
Coordinate client sign-ups and intake processes (drafting retainers, following up with potential clients over phone, text or email, answering questions/concerns, closing the deal)
Open new cases in our Case Management system; ensure case moves smoothly through the firm after signing
Cultivate a sales-oriented approach to retain clients
Serve as new clients' first touchpoint with the firm
Maintain detailed documentation and records accurately
Be proactive - keep an eye on our intake processes, and point out where you see room for improvement
Manage refer-out and refer-in cases
Knowledge, Skills and Abilities
Strong sales spirit and customer service mindset
Bilingual proficiency in English and Spanish
Excellent communication skills, both verbal and written
Ability to demonstrate empathy in person and over the phone
Detail-oriented with exceptional organizational skills
Professionalism and discretion in handling confidential information
Willingness to learn and adapt to new systems and processes
Ability to work collaboratively
Education & Experience
Intake Skills: 1-2 years (Preferred, but not required)
Customer Service: 1-2 years (Required)
Spanish (Required)
