We have an opening for a Sales Support Admin at our Port Washington, WI location. The Sales Support Admin will provide high-level, confidential assistance to the VP of Sales, Retail and Contract Sales, and Project Management Teams. This position will work 1st shift hours onsite Monday through Friday. Essential Functions

Complete a broad variety of administrative tasks for the VP of Sales including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting correspondence, PowerPoints, excel spreadsheets and other tasks. Works closely and effectively with the VP of Sales to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping them updated. Provides a bridge for smooth communication between the Sales team and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management. Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Records and distributes minutes at Sales and Project Management staff and other meetings; Manages follow-up on all action items. Maintains and distributes various reports to assist the Sales and Retail teams. Maintains and manages a current, comprehensive system of legal document tracking and filing. Coordinates domestic and international travel arrangements. Creates reports under general instruction and displays data to support needs, generates existing reports, and distributes reports as needed. Establishes and maintains filing systems for records, files, and documentation. Maintains confidential materials and records. Facilitates interdepartmental communication through ability to retain and recall information discussed in meetings and develops systems for follow-up, tracking, and completion of agreed-upon tasks.
