Responsibilities: Provide comprehensive administrative support to the VP of Sales, including management of a high-volume and complex calendar, preparation of confidential correspondence, coordination of detailed domestic and international travel, and compilation of meeting materials and agendas. Execute critical deliverables with a hands-on approach, including drafting correspondence, presentations, spreadsheets, and other business documents. Partner closely with the VP of Sales to ensure awareness of upcoming priorities, commitments, and deadlines; proactively follow up on action items and serve as a trusted advisor with awareness of organizational dynamics. Act as a liaison between the Sales organization and internal departments, fostering effective communication and maintaining credibility, trust, and alignment with senior leadership. Manage competing priorities with efficiency and discretion, responding proactively and ensuring projects are completed accurately and on time, often under tight deadlines. Record, distribute, and track meeting minutes and action items for Sales, Project Management, and cross-functional meetings. Prepare, maintain, and distribute reports to support Sales and Retail teams, including data analysis and presentation under general direction. Maintain organized and secure filing systems, including legal and confidential documents, ensuring accuracy, accessibility, and compliance. Establish and manage document control processes for records, reports, and sensitive materials. Facilitate cross-departmental follow-through by retaining key meeting details and developing systems to track progress and completion of agreed-upon tasks. Qualifications: High school diploma or GED required; Bachelor's degree in Business or a related field preferred. Two to four years of experience providing direct administrative support to C-level executives, preferably within a manufacturing environment. Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Access) and Google Workspace. Demonstrated ability to perform business calculations, including percentages, commissions, discounts, and related figures. Exceptional organizational and time-management skills with the ability to prioritize multiple tasks while maintaining meticulous attention to detail. Excellent written and verbal communication skills, with the ability to produce clear reports and present information effectively at all organizational levels. Highly resourceful, self-directed, and collaborative, with the ability to work independently and as part of a team. Strong interpersonal skills with proven ability to build relationships with executives, employees, customers, and external partners. Proven discretion in handling confidential information and adaptability in managing competing priorities in a fast-paced environment. Results-driven mindset with a demonstrated ability to meet deadlines, achieve high performance standards, and proactively resolve problems.
