What You Will Be Doing: As a Senior Administrative Assistant, you will provide critical support to ensure the efficient management of a non-digital state and local government tax filing process. You will also provide broad administrative support to ensure efficient day-to-day operations, serving as a central point of contact and coordinating information flow.

Key Responsibilities:

Receive, organize, track, log, and securely store tax payment checks for multiple state and local tax jurisdictions.

Coordinate with accounts payable to determine the status of outstanding or missing checks required for tax filings.

Perform final reviews of paper tax returns and payment packages to ensure accuracy, completeness, correct addresses, proper signatures, and inclusion of all required documents.

Prepare and mail physical tax return packages to the appropriate government agencies.

Organize, review, and process paper tax filings for partnerships and individual clients.

Handle incoming and outgoing mail related to tax filings.

Maintain detailed logs and tracking records for tax documents and payments.

Ensure compliance with confidentiality, data privacy, and secure document-handling standards.

Provide administrative support, including scheduling, correspondence, meeting coordination, and report preparation.

Maintain filing systems, contact lists, and office documentation.

Answer and direct phone calls and respond to email inquiries in a professional and timely manner.

Assist with expense reports, invoices, office supplies, and general office operations.

Support managers and employees with organization, communication, and workflow coordination.

Manage multiple tasks and deadlines with a high level of accuracy and attention to detail.

Required Skills & Experience:

Proven experience in an administrative, clerical, or office support role.

Demonstrated ability to manage paper-based processes with high accuracy and attention to detail.

Experience handling confidential, sensitive, and time-sensitive information.

Strong organizational and tracking skills, including maintaining logs and records.

Ability to meet strict deadlines in a high-volume environment.

Excellent written and verbal communication skills.

Proficiency with standard office tools (email, document preparation, spreadsheets, and filing systems).

High level of reliability, professionalism, and accountability.

Desired Skills & Experience:

Previous experience with tax filings in corporate tax, public accounting, or government-related environments.

Background as an accounts payable clerk, legal assistant, or similar role involving document processing and compliance.

Familiarity with tax forms, tax return packages, and payment documentation.

Experience coordinating with finance or accounting departments.

Experience preparing reports, presentations, or process documentation.

Ability to improve or document administrative processes for efficiency and accuracy.

Pay: $24.37 - $34.82 /hr.
