The Events Specialist is responsible for planning, coordinating, and executing high-impact events that increase brand visibility, deepen customer engagement, and support business objectives. This role manages end-to-end event logistics including booth operations, staffing, shipping, swag inventory, and vendor relationships while ensuring events are delivered on time, within budget, and to the highest quality standard. What You’ll Do Event Planning & Execution
Support the full lifecycle of trade shows, some field events and some customer-facing activations.
Develop and follow event project plans, timelines, and checklists to ensure flawless execution.
Coordinate with internal stakeholders (Marketing, Sales, Product, Leadership) to align event strategy with business goals.
Booth & Onsite Logistics
Manage booth design, layout, upgrades, and maintenance in partnership with external vendors.
Oversee booth setup and teardown, ensuring compliance with venue regulations.
Coordinate electrical, Wi‑Fi, furniture, AV equipment, and other onsite services.
Shipping & Inventory Management
Plan and execute the shipment of booth materials, equipment, and swag to/from event locations.
Maintain an accurate inventory of event assets and ensure timely replenishment.
Track shipments and proactively identify risks or delays.
Staffing & Onsite Support
Coordinate event staffing schedules, travel, and training materials.
Provide onsite event support, including vendor management, attendee engagement, and problem resolution.
Serve as the primary point of contact for staff before, during and after events.
Swag & Merchandise Management
Oversee swag sourcing, ordering, branding, and quality control.
Maintain a centralized inventory system and manage fulfillment for field teams.
Evaluate swag effectiveness and recommend new items based on event performance and audience feedback.
Budget & Vendor Management
Develop and manage event budgets, tracking expenses and ensuring cost control.
Source, negotiate, and manage vendors (booth builders, printers, shipping partners, agencies, etc.).
Produce post-event budget reconciliations and ROI analyses.
Measurement & Reporting
Track event performance metrics, lead generation, engagement, and overall impact.
Prepare post-event reports that summarize outcomes, insights, and recommendations.
Maintain event calendars, documentation, and internal communication channels.
Hosted Events Management
Lead the planning and execution of some company-hosted events, including workshops, roundtables, and in-person experiences.
Source, evaluate, and secure venues that meet event objectives, budget requirements, and logistical needs.
Build and manage event registration pages, ensuring accurate event details, clear attendee workflows, and seamless integration with marketing and CRM systems.
Coordinate with internal teams and external partners to identify, recruit, and confirm event speakers or presenters.
Collaborate with speakers to gather bios, session content, promotional materials, and logistical requirements.
Oversee event timelines, run‑of‑show materials, and production needs to ensure flawless execution.
Monitor registration trends, attendee engagement, and capacity limits; adjust promotional strategies as needed.
Support post-event processes including reporting, lead management, follow‑up communication, and lessons‑learned documentation.
What You’ll Bring Qualifications
2–5 years of experience in event coordination, trade show management, or marketing operations (experience level customizable).
Strong organizational and project-management skills with exceptional attention to detail.
Experience managing budgets, vendors, and event logistics.
Ability to lift, move, and transport event materials as needed.
Excellent communication, interpersonal, and problem-solving skills.
Proficiency with project-management tools and CRM/marketing systems (e.g., Microsoft Project, Salesforce).
Ability to travel up to
25% .
Preferred Skills
Experience in B2B technology, SaaS, or similar industries.
Knowledge of trade show regulations and booth best practices.
