The Paralegal, Estate & Trust provides support to attorneys in the Estate and Trust practice group and monitors Shriners Hospitals for Children’s interest in estates, gifts and trusts. Provides backup support and assistance to attorneys preparing and reviewing agreements for the Boards and other departments.

Responsibilities

Performs substantive legal support work for supervising attorneys in litigated and non‑litigated matters: reviews files for pertinent information and attorney notes, reviews testamentary documents for SHC's interest, initiates/completes new matter setups, organizes file contents, sends acknowledgment letters and requests for additional information.

Prepares and initials documents for signature, including receipt, release, waiver, etc., for execution by authorized in‑house signatories or corporate officers.

Drafts and prepares correspondence, form letters, and memos as necessary, with attention to detail.

Advises and consults with appropriate departments regarding real estate, securities, and miscellaneous assets proposed to be distributed directly to SHC.

Manages files with follow‑ups, accurate status and notes, on‑line database searches, and communication with administrative staff, Donor Relations, Development Directors, and Finance Department staff.

Initiates contact to courts, communicates with trust officers, probate counsel, legal staff, and executors regarding estate and trust administration.

Discusses any legal issues with the attorney for recommendation or resolution.

Verifies endorsement of checks, hospital routing, and matter and PM estimates, and enters financial data into the PM database.

Reviews files for closure.

Audits estate/trust accountings, traces assets from Inventory/DOD, verifies SHC's interest per Will or Trust, reviews taxes and improper invasion of principal.

Prepares Excel spreadsheets, reflects all items including distribution to SHC, and enters information into PM for estimates.

Investigates inaccuracies and reports them to the attorney for follow‑up.

Reviews wire transfer confirmations and set‑up confirmations for completeness and cross‑checks against check‑log.

Supports attorneys on financial and audit inquiries and participates in conference calls as needed.

Oversees proper entry and recordation of information in the department’s electronic file system and paper files, scans documents into the PM database, and updates workflow status notes.

Initiates calls to courts, attorneys, financial institutions, trust officers, executors, and SHC in‑house departments to obtain information, answers calls professionally, responds timely, and notes messages in PM.

Analyses files and prepares detailed Set‑Up Memos for the Finance Department, providing all necessary data to record assets received, including asset description, background and history of administration, pertinent issues, and contacts for involved attorneys and trustees.

Required Qualifications

Four years of legal experience in estate planning, trusts and estates.

Florida Registered Paralegal (FRP) or eligible to become FRP.

Preferred Qualifications

Four years of legal experience in real estate.

Associate’s Degree in Paralegal Studies.
