Order Entry Specialist
The Order Entry Specialist will provide exceptional customer service by processing orders and handling all associated administrative duties for various accounts, including toll milling, cash export/SBS, industrial/bulk, military and club store, retail, domestic private label, food service, ethnic retail, and Hawaii accounts. Responsibilities: Process and coordinate all orders received. Review and edit orders daily for accuracy. Act as an in-house contact and support for all customers and salespeople. Prepare and manage all applicable documentation for assigned markets. Confirm orders to customers and maintain all customer service files. Enter data into the credit memo log. Match all bills of lading and orders for accounting invoice preparation. Maintain all toll milling and by-products contracts. Process and audit by-products shipments for invoicing. Calculate and close invoicing daily. Essential Skills: Proven experience in order entry, customer service, or administrative support within a fast-paced environment. Strong attention to detail with a high degree of accuracy in data entry. Proficiency with order management systems, ERP software, or CRM tools. Ability to manage multiple priorities and meet tight deadlines. Excellent written and verbal communication skills. Strong problem-solving skills and ability to resolve order discrepancies. Basic math skills for verifying quantities, pricing, and inventory levels. Ability to work collaboratively with sales, production, logistics, and customer service teams. High school diploma or equivalent. Additional Skills & Qualifications: Experience in the food, beverage, or manufacturing industry. Familiarity with food safety standards, lot tracking, or traceability requirements. Knowledge of inventory management processes. Proficiency in Microsoft Office (Excel, Outlook, Word). Experience with EDI order processing. Work Environment: The position is based in an office environment, with working hours from 8am to 5pm.
