OVERVIEW
The Document Specialist provides quality assurance and documentation support for the development and delivery of digital training products. This role focuses on online lesson test review, accessibility compliance, user acceptance testing support, and document formatting to ensure training materials meet established quality, usability, and accessibility standards. The ideal candidate is detail-oriented, methodical, and comfortable working within structured review and approval processes in a collaborative development environment.
DUTIES
Perform reviews of documents, online lessons, and related deliverables to ensure accuracy, consistency, and completeness
Test online learning content against approved content documents and design specifications to confirm alignment with intended structure, content, interactions, and flow
Validate that learner-facing content accurately reflects approved instructional designs prior to delivery or release
Identify, document, and track discrepancies between approved content and developed online content through resolution
Conduct accessibility compliance reviews and remediate non-compliant aspects of documents and digital deliverables
Format Microsoft Word documents, PowerPoint presentations, and Excel spreadsheets in accordance with established templates, specifications, and style requirements
Review deliverables for formatting and consistency
Support user acceptance testing activities by documenting defects, usability concerns, and formatting or accessibility issues
Collaborate with instructional designers, developers, writers, and graphic artists to resolve identified issues efficiently
Verify that updates and corrections have been accurately implemented during re-review cycles
Store, organize, and maintain documents and deliverables within designated document management systems to support version control and traceability
Maintain review records and documentation to support quality tracking and audit readiness
Proactively communicate risks, issues, or concerns related to content alignment, accessibility, or review timelines
Perform other duties as directed in support of project and business needs
MINIMUM QUALIFICATIONS
Bachelor's Degree from an accredited college or university in related field or 3-5 years equivalent experience
PREFERRED QUALIFICATIONS
Proficient in MS Office Suite and SharePoint
Proficient with various webinar platforms (i.e. Web-Ex)
Proficient in formatting MS Word, PowerPoint, Excel, and PDF documents for Section 508 compliance a plus
Experience as a document specialist or other related role is preferred
Federal contracting experience is preferred
Ability to manage multiple tasks, ensuring accuracy and attention to detail
Excellent problem-solving skills
Excellent verbal and written communication skills
Ability to maintain professional and ethical working relationships
Salary Range:
$45,000 to $55,000 per year
