Executive Personal Assistant to the CEO – Asset Management Location:

Compensation:

$120,000–$160,000 base salary plus bonus

Schedule:

In-office, five days per week

Role Overview We are seeking a highly organized, proactive Executive Personal Assistant to support the CEO within a fast-paced investment environment. This role is centered on providing high-touch, day-to-day administrative and personal support to the CEO, ensuring seamless operations across both professional and personal priorities. While the position offers exposure to leadership and strategic initiatives, its primary responsibility is direct CEO support rather than people management.

Key Responsibilities

Executive Support:

Deliver comprehensive administrative support to the CEO, including complex calendar management, meeting coordination, and travel planning.

Personal Support:

Coordinate closely with the CEO’s spouse to align personal and business schedules across multiple entities, including agenda creation, appointments (e.g., medical), and personal logistics.

Cross-Functional Coordination:

Serve as a central point of coordination across internal teams to ensure the CEO’s priorities are consistently supported.

Meeting Management:

Prepare agendas, briefing materials, and presentations; capture detailed meeting notes and track follow-ups to completion.

Travel Coordination:

Arrange sophisticated domestic and international travel, overseeing flights, accommodations, and ground transportation.

Expense Administration:

Manage and submit expense reports with accuracy and in compliance with firm policies.

Event & Offsite Planning:

Coordinate corporate events, offsites, and executive meetings, overseeing all logistical details.

Communication Liaison:

Act as the primary interface for internal and external stakeholders, ensuring clear, timely, and professional communication.

Special Projects:

Take ownership of ad hoc initiatives and special projects, exercising sound judgment and independent problem-solving.

Qualifications Experience

Minimum of 7 years of experience supporting senior executives, ideally within asset management, financial services, or a similarly fast-paced corporate environment.

Proven ability to manage highly complex schedules while handling sensitive and confidential information with discretion.

Skills

Exceptional organizational, prioritization, and multitasking abilities.

Strong attention to detail and accuracy.

Excellent written and verbal communication skills.

Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint).

Ability to perform effectively in a dynamic, high-expectation environment.
