Position Summary
The Administrative Specialist provides essential administrative support through high-volume document review, organization, and data management. This role requires exceptional attention to detail, strong organizational and clerical skills, and the ability to work independently with minimal supervision. The ideal candidate will effectively manage multiple priorities while ensuring accuracy, consistency, and confidentiality across large sets of business records and legal or compliance documentation.
Key Responsibilities
Conduct high-level reviews of large volumes of documents to ensure completeness, accuracy, and consistency
Organize, categorize, and maintain electronic and hard-copy files in accordance with company protocols
Prepare summaries, logs, and indexes of reviewed materials
Perform administrative and clerical duties including data entry, scanning, filing, and correspondence
Track progress of document review projects and maintain clear records of status and findings
Coordinate with internal teams to obtain missing information and resolve document discrepancies
Uphold confidentiality and handle sensitive information in compliance with company policies
Perform additional administrative duties as assigned to support departmental and project needs
Qualifications
Associate's or Bachelor's degree preferred; equivalent administrative experience will be considered
2 years of administrative, document management, or clerical experience
Legal, compliance, or corporate environments preferred
Strong organizational and time management skills with the ability to manage multiple deadlines independently
Exceptional attention to detail and accuracy
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and document management systems
Strong written and verbal communication skills
Ability to work autonomously in a deadline-driven environment
Preferred Attributes
Experience handling confidential, sensitive, or regulatory materials
Prior exposure to high-volume document review projects
Demonstrated initiative, reliability, and discretion
