Description The Loan Documentation Specialist is responsible for preparing the loan documents for all commercial and consumer loans (excluding SBA loans) originated by the Bank. Interacts with commercial and consumer lenders and loan coordinators (from loan approval through closing/funding) to ensure approval conditions are met, document content is complete, compliance with federal/state regulations and internal policies, and proper perfection of the Bank’s security interest.

Job Responsibilities

Coordinates with commercial and consumer lenders and loan coordinators to ensure loan transactions close accurately and timely.

Reviews all pre‑closing due diligence information gathered by loan coordinators (e.g., title work, flood letters, UCC searches, entity information) to ensure completeness and accuracy.

Prepares the legal loan documents for consumer and commercial loans (using LaserPro) in compliance with federal/state regulations and internal policies, ensuring all approval and closing conditions have been met.

Reviews executed documents for proper signatures and completeness, following up with lenders/coordinators on missing or incomplete items critical for booking the loan.

Perfects the Bank’s security interest by recording/filing documents online (or mailing out) including Deeds of Trust, UCCs, NOLs, acknowledgements, etc.

Creates and assists in maintaining the physical loan files, including uploading all loan documents and due diligence information into Nautilus (the Bank’s document retrieval system).

Obtains outstanding loan documents needed to complete the loan file (e.g., recorded deeds/mortgages, final title policies, signed acknowledgements).

Monitors monthly reports and prepares UCC continuations on time to ensure the Bank’s security interest is maintained.

Ensures proper customer and collateral information is provided to Loan Administration to facilitate the booking process and maintain accurate system information.

Assists in resolving documentation questions, concerns, and/or service issues in a timely, professional, and courteous manner.

Identifies and reports all collateral documentation exceptions, obtaining proper exception authority approvals as required by Bank policy.

Completes special projects assigned by management.

Qualifications, Knowledge, and Skills

Must have experience using LaserPro.

Minimum 1–3 years of experience in examining or preparing collateral documentation.

Knowledge of various collateral types, including perfection requirements.

Knowledge of legal contracts, the Uniform Commercial Code, Federal Reserve regulations, and state and local governing authorities.

Ability to prioritize workflow and handle shifting priorities.

Excellent written and verbal communication skills.

Detail‑oriented, well organized, and demonstrates flexibility, versatility, and good judgement.

Proactive problem‑solving attitude, professionalism, and effective communication skills.

High school education or GED equivalent.

Work Environment

General office conditions.
