Position Overview We are seeking a Legal Secretary to provide high-level support to attorneys and legal staff. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced law firm environment. This role is essential for smooth office operations and excellent client service. Key Responsibilities
Manage daily administrative tasks, including scheduling, correspondence, and document preparation Draft, review, and finalize legal documents; perform redline comparisons when needed Assist with transaction closings, including preparing signature packets and closing binders Maintain client intake records and ensure proper conflict-check procedures Keep attorney calendars and client contact lists accurate and up to date Prepare expense reports, timesheets, and coordinate travel arrangements Support billing and collections; respond to invoice-related communications Mentor new staff on office procedures and firm practices Collaborate with colleagues across departments to ensure seamless support Maintain an active notary commission and complete notarizations as required Participate in training and stay current with legal technology tools Qualifications
High school diploma required; college degree preferred 3–5 years of experience in a law firm setting strongly preferred Proficient in Microsoft Word, Excel, Adobe, DocuSign, and timekeeping systems Skilled at managing multiple tasks and document revisions under tight deadlines Strong written, verbal, and interpersonal communication skills Typing speed of 70+ WPM with high accuracy Detail-oriented, proactive, and adaptable to changing priorities Positive, team-focused attitude Willingness to work overtime as needed The Phoenix Group Advisors is an equal opportunity employer.
