Job Title
This is a highly responsible, front-line position with the Office of Registration and Records, requiring the ability to accurately coordinate, process, and complete a high volume and variety of duties to assist in all phases of the operations of the office. Examples Of Duties
Assists in all phases of the operations of the Registration and Records Office Provides general information to students. Assists prospective and current students with the admissions, residency verification and registration processes. Processes incoming student credentials, evaluates authenticity of high school diploma and processes official student transcripts. Maintains student records in the Student Information System. Performs special assignments, and drafts reports as requested. Interprets and administers policies as directed. Acts for administrator/professional in matters where authority has been delegated. Processes all student admission and registration related data Processes general forms required for the Registration and Records Office Accesses, inputs and retrieves information and data from the student database and archived from microfilm and microfiche Ensures compliance with Family Educational Rights and Privacy Act (FERPA) regulations when responding to inquires relating to student records Determines appropriateness of inquiries from students, potential students, staff, and off-campus individuals relating to registration and student records issues and responds appropriately Responsibility for accurately scanning student records and retrieval of scanned student records, including admissions data and official transcripts Drafts routine responses to inquiries not requiring a supervisor's attention. Receives incoming mail and clears items which can be handled without supervisory involvement. Forwards remainder to supervisor together with all necessary background information. Examines, checks and verifies reports and statistical data for completeness, adequacy and established requirements. Performs other office management duties as assigned. Minimum Qualifications
Knowledge, abilities and skills: Excellent customer service skills. Knowledge of computer data entry operations. Ability to accurately and proficiently enter complex and varied data, maintain accurate and complete records in electronic and paper format, handle a high volume of work, and effectively and appropriately relate to students, other college personnel and community members and to communicate effectively verbally and in writing. Knowledge of administrative office procedures, basic management principles, state laws, rules and regulations governing college admission and student records, English usage, and spelling. Education and experience: Associate degree in appropriate area plus two years of related experience in a fast-paced environment; or High school diploma plus four years related experience in a fast-paced environment. A high school equivalency diploma from the State Department of Education may be substituted for high school graduation. Additional education may substitute on a year for year basis for required experience in related area. Must be very comfortable working with computers, including the ability to quickly switch between various office systems and tasks. Desirable qualifications: Experience with data entry in Banner Student system. Supplemental Information
