The Accounting Specialist plays a pivotal role in keeping Nviro’s financial operations running smoothly across a diverse, multi-division business that includes manufacturing, systems integration, construction, and plant operations and maintenance. Acting as the foundation of day-to-day accounting execution, this role drives transactional accuracy, job cost integrity, and close-cycle support. As Nviro continues to grow, the Accounting Specialist contributes to broader business operations as needed while maintaining clear ownership of core accounting responsibilities.
Responsibilities Accounting Operations
Process accounts payable and accounts receivable transactions in QuickBooks Online
Maintain general ledger accuracy in accordance with GAAP and company policies
Identify and resolve transaction discrepancies and data issues
Job Cost & Project Accounting
Record labor, materials, subcontract, inventory, and overhead costs to projects
Maintain accurate project cost data and support project setup and closeout
Partner with project teams to resolve job cost and coding questions
Support Work-in-Progress (WIP) reporting through accurate underlying data, partnering with the designated Project Manager to accurately estimate project completion percentages
Inventory & Cost Support
Record inventory transactions and maintain supporting schedules
Assist with inventory reconciliations, pricing, and physical counts
Month-End Close & Reporting Support
Prepare routine journal entries, account reconciliations, and supporting schedules
Maintain organized documentation to support audits and financial reviews
Billing, Payroll, & Business Operations Support
Prepare and issue customer invoices, apply payments, and assist with collections follow-up
Review timekeeping data and support payroll reconciliations and reporting
Process benefits invoices and maintain employee benefit premium contributions and payroll deductions, ensuring accurate and complete documentation
Compile and maintain documentation for recurring business operations, including workers’ compensation audits, bank-requested materials, and insurance renewals
Support employee onboarding and offboarding from a systems and payroll perspective
Provide front-office coordination as needed, such as office telephone routing, parcel delivery notifications, and greeting visitors
Data Integrity & Process Improvement
Ensure consistency and accuracy across accounting systems and spreadsheets
Follow internal controls and documentation standards
Assist with process improvements and system enhancements
Qualifications
Associate’s degree in Accounting, Finance, or a related field, or equivalent practical experience
Proven accounting or business operations experience, preferably in a small to mid-sized business environment
Working knowledge of Generally Accepted Accounting Principles (GAAP)
Experience using accounting and project or job cost software such as QuickBooks Online, Trimble, or similar systems
Strong proficiency with Microsoft Excel and the Microsoft Office suite
High level of accuracy and attention to detail in financial record-keeping and reporting
Ability to analyze financial data, identify discrepancies, and support accurate reporting
Strong organizational skills with the ability to manage multiple priorities and adapt in a dynamic environment
Professional judgment and discretion when handling confidential financial and employee information
Clear, professional communication skills and the ability to work effectively both independently and as part of a team
This position is based in our San Luis Obispo office and designed for regular, full-time on-site collaboration during standard business hours
