Job Summary
Procedure Scheduler – Corporate Headquarters, Healthcare Outcomes Performance Co. (HOPCo).
The Procedure Scheduler is responsible for scheduling in‑office procedures, managing patient demographics and insurance eligibility, coordinating authorizations, and maintaining compliance with HIPAA and other regulations.
Essential Functions
Schedules in‑office procedures within required time as per department policies.
Updates and confirms patient demographic information and insurance eligibility, including authorization requirements to ensure successful processing of claims.
Communicates with patients regarding authorization, financial counseling, and scheduling.
Responds to patient questions and complaints, resolving problems to maintain high satisfaction.
Communicates clinical instructions needed for appointments/procedures.
Answers and resolves incoming calls and requests in a timely, accurate manner; triages and relays messages to appropriate staff.
Ensures cancelled appointments and related ancillary appointments are cancelled and communicated to all stakeholders.
Accurately updates patient information in the practice management system and EMR; performs required documentation of work completed.
Maintains strict confidentiality of all health records and meets HIPAA guidelines.
Other duties as assigned.
Education
High school diploma, GED, or equivalent working knowledge (preferred).
Experience
Minimum two years’ experience in healthcare required; previous call‑center experience preferred.
Excellent organizational skills and strong customer service orientation with a solid background in computers and data entry.
Knowledge
Medical terminology.
Scheduling and authorization processes and insurance plans.
Federal, state, and HIPAA privacy regulations.
Skills
Excellent interpersonal skills (tact, discretion, courtesy for effective interaction).
Strong critical thinking, troubleshooting, and analytical skills.
Outstanding customer service skills, effective communication, listening, and telephone etiquette.
Professional appearance, communication, and maintenance of patient confidentiality.
