Job Summary McAdams Group is seeking a dependable, personable, and highly professional Event Coordinator to represent our firm during our educational retirement planning workshops held throughout the Jacksonville area. This role requires regular travel to select workshop venues—libraries, community centers, and event spaces—where you will support setup, attendee experience, and coordination alongside our advisory team. As the welcoming face of McAdams Group, you will ensure each event runs smoothly by managing logistics, engaging attendees, and assisting with appointment scheduling. Workshops follow a predictable cadence and are held in the evenings, offering exceptional flexibility with minimal weekly time commitments. This is a high-impact, part-time opportunity for individuals who enjoy structured, event-based work and thrive in professional, client-facing environments. Key Responsibilities

Arrive onsite ahead of schedule to oversee room preparation, ensure materials are organized, and confirm all event logistics are set for a smooth start. Travel to designated workshop venues across the Jacksonville area, arriving early to oversee room preparation, verify technical and material readiness, and ensure all logistics are in place. Serve as the welcoming, professional first point of contact for attendees—managing check-in, answering questions, and setting a positive tone for the event. Support advisors throughout the workshop by coordinating appointment scheduling, distributing materials, and ensuring transitions run seamlessly. Manage post-event procedures, including breakdown, materials organization, and confirming next steps with the advisory team. Attendee Experience & Client Support

Create a warm, attentive, and organized environment that reflects McAdams Group’s commitment to exceptional client care. Assist attendees with scheduling consultations and navigating any workshop follow-up actions. Anticipate needs during the event and proactively support both guests and advisors. Event Follow-Up & Coordination

Send appointment confirmations and reminders to attendees to ensure strong show rates and smooth follow-up. Communicate with advisors to confirm scheduling, attendee updates, and next steps. Upload, organize, and distribute workshop recordings or related assets to the media team as needed. Maintain accurate records of event outcomes, attendee appointments, and logistical notes to support continuous improvement. Operational Excellence

Represent McAdams Group with professionalism, punctuality, and consistency at all events. Provide feedback and observations to improve workshop flow, attendee experience, and event efficiency. Required Strong interpersonal and communication skills Professional appearance and demeanor Highly reliable, punctual, and comfortable following a structured event process Ability to work onsite in Jacksonville, FL during evening workshop times Strong organizational skills and attention to detail Comfortable interacting with adult learners in a professional environment Preferred Experience in event support, hospitality, client services, or administrative roles Familiarity with scheduling or CRM systems Prior experience in financial services, educational events, or workshop-based environments Seniority level
