Executive Assistant (Part-Time)

Compensation & Schedule
Hourly rate: $25–35 per hour
Part-time, W-2 employment
Flexible weekday schedule
No weekend work required
Role Impact The Executive Assistant provides high-level administrative support that protects executive focus, ensures timely follow-through on client and prospect commitments, and strengthens overall operational consistency. This role directly impacts client experience, communication quality, and the executive’s ability to focus on high-value work. The position starts part-time and has the potential to grow into a full-time role with expanded responsibilities.
Key Responsibilities
Email inbox management using a defined triage method (delete, do, delegate, draft)
Drafting professional email responses for executive review
Calendar ownership, including meeting scheduling and time-block protection
Tracking follow-ups on leads, referrals, and client requests
Proactive reminders for open cases, projects, licensing, and business initiatives
Client touchpoint coordination, including check-in calls and follow-up tasks
Light LinkedIn monitoring and engagement aligned with firm voice
File organization and document management in OneDrive
Outlook workflow optimization using rules, categories, and views
Administrative support within client portals, including Black Diamond
Preparation and mailing of handwritten thank-you notes
Processing occasional invoice payments
Support for client onboarding logistics and documentation
Assistance with internal process and technology improvement projects
Minimum Qualifications
Executive Assistant or administrative experience in a professional services environment
Microsoft 365 proficiency, including Outlook, Word, Excel, and OneDrive
CRM and client portal experience in a business setting
Strong written communication skills
High attention to detail and confidentiality handling
