UnitedHealthcare is seeking a highly qualified Senior Administrative Assistant who can thrive in a dynamic and varied work environment. This position will provide support to the New Jersey Executive Director and the NJ leadership team of UnitedHealthcare for Employer & Individual in a manner consistent with the highest levels of performance and professionalism. The role requires solid skills in relationship building, communication, and partnering with other leaders’ assistants, as well as with colleagues at all levels in the organization.
The position is located in East Brunswick, New Jersey, and operates on a hybrid model.
Primary Responsibilities
Provide primary support to the NJ Executive Director and leadership team with schedule, coordinate and manage meetings, expenses & travel
Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures
Manage active calendars, resolve scheduling conflicts as they arise, prioritize to ensure effective time management for the Executive Director and leadership team
Create, prepare, and distribute all meeting materials
Maintain charitable/community relations and promotional items budget and sponsorships
Ensure all resources and technology is set up and working for all meetings
Answer incoming calls and facilitate handling of requests for information; evaluate calls and use judgment to take action
Work effectively as an integral member of a team; provide administrative support on various business unit projects and initiatives
Prepare presentations, letters, memos, monthly and quarterly reports, and charts using MS Office
Monitor email and identify urgent requests
Greet visiting clients, guests and employees
Independently perform varied administrative duties related to functional area
Act as a liaison and work with building management and UHG facilities manager to maintain awareness of potential issues and or repairs needed within the office environment and coordinate maintenance and repair
Maintain and keep updated office and distribution lists
Maintain a high level of organization and attention to detail
Interact with individuals at all levels of the organization
Ensure employees/contractors receive access and guidance with office operations
Perform Business Segment Liaison (BSL) activities, as needed (hardware/software acquisition/disposal, new employee onboarding, transfers, terminations)
Place supply orders using internal processes and pre-approved vendors
Provide coverage for internal team members as needed

Required Qualifications
3+ years of administrative experience in support of senior executives in a highly matrixed organization
Experience supporting multiple executives within a fast-paced, dynamic environment
Experience arranging Microsoft Teams virtual meetings
Experience coordinating large meetings for senior leadership
Experience coordinating office moves including hardware and software requisitions, travel arrangements, new hire onboarding and other office management responsibilities
Advanced proficiency within Microsoft Office Outlook, Excel, PowerPoint, Word, Teams
Reside within commuting distance from East Brunswick, New Jersey

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.38 to $36.44 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
