Description Join our team of dedicated employees focused on student success and transformation at Allegany College of Maryland. The Residence Life Office Manager is a staff (non‑student) position whose primary role is to oversee multiple administrative tasks and daily operations in the campus housing community, Willowbrook Woods.

Operational Functions

Provide professional presence on‑site at student housing.

Serve as a resource to students and/or make referrals to campus resources.

Manage day‑to‑day office operations.

Greet and inform Willowbrook Woods tour groups as available.

Organize weekly Walmart trips.

Oversee and update Residence Life web content.

Submit work orders for any facilities issues to common areas including Clubhouse, office space, courtyard, parking lots, building exteriors, etc.

Assist with opening/closing tasks as needed.

Participate in Willowbrook Woods move‑in.

Liaise with vending provider and finance staff as issues arise.

Liaise with laundry provider and finance staff as issues arise.

Liaise with census worker conducting annual follow‑up resident data collection.

Specialized Functions

Process Willowbrook Woods applications and contracts, including intake, tracking, communications, and notifications.

Distribute and collect Apartment Condition Forms.

Distribute and collect Roommate Agreements.

Prepare and manage online orientation for new housing students.

Manage overnight and minor guest requests.

Manage residents credit hour requirement, including notifications and petitions.

Track fire alarm data.

Manage supplemental contracts for students staying at housing outside of the normal schedule.

Assist with onboarding January newcomers as needed.

Assist with RA programs as needed.

All Student Affairs Staff Functions

Collaborate regarding applications, contracts, supplemental contracts, credit hour compliance, and contract renewal process.

Collaborate regarding Willowbrook Woods policies, processes, and documents.

Identify resident behaviors/concerns and communicate complex matters to team to determine course of action.

Conduct wellbeing checks.

Provide timely and accurate documentation, record‑keeping.

Participate in staff meetings as needed.

Participate in assessment including Comprehensive Unit Review and Unit Goals.

Participate in college Open Houses and other promotional activities.

Complete mandatory trainings and professional development.

Other duties as assigned.

Qualifications Education and Experience

Associate’s Degree and one year of professional, office management, clerical, or related experience OR five years of office, clerical, or related experience.

Prior experience working with college students preferred.

Valid driver’s license required.

Students currently enrolled at Allegany College of Maryland or who will be enrolled in future semesters are not eligible to be hired for this position.

Employees will still be able to use the Tuition Waiver benefit for Professional Development.

Skills and Abilities

Ability to establish rapport with and offer patient guidance to a widely diverse student population.

Experience with or demonstrated ability to learn how to apply institutional policies and procedures.

Strong organizational skills.

Excellent documentation skills.

Excellent communication (verbal and written) skills.

Strong interpersonal and collaborative skills.

Knowledge or ability to learn Basic Microsoft Office Suite, and use College databases/software.

Ability to function with a flexible schedule that includes some evening and weekend hours.

Ability to balance work schedule with personal needs.
