Community Outreach & Enrollment Coordinator (Grassroots Marketing Focus) Children’s Lighthouse of Chantilly — Early Learning School Mission: Create Joy
Location: Chantilly, VA | Full-time (some evenings/weekends for events)
Why this role exists We’re looking for a high-energy, people-first community builder who loves meeting families, building partnerships, hosting events, and turning interest into enrollments. This role is primarily grassroots marketing—being present in the community and creating consistent touchpoints that bring families through our doors.
Primary Objective (non-negotiable) Drive enrollment growth through grassroots marketing, local partnerships, community events, and excellent lead follow-up using our CRM.
What success looks like (your outcomes) More community visibility → more inbound calls/leads
Faster response → more tours booked
More tours → more deposits → more enrollments
CRM is clean, current, and used daily
Responsibilities: Grassroots Marketing & Community Outreach (Primary)
Build relationships with local businesses: coffee shops, gyms, pediatric dentists, PT/OT, libraries, realtors, HOA leaders, community centers
Create and execute weekly outreach routes (drop-ins, flyers, partner visits, mini pop-ups)
Coordinate partnership exchanges (referrals, table events, co-hosted family nights)
Represent the school at local events (festivals, expos, farmers markets, school/PTA events)
Manage a simple “community touchpoint calendar” and keep it active
Events Hosting & Coordination
Plan and host 2–4 events/month (open house, story time, parent night, family fun days)
Own event logistics: vendors, checklists, signage, RSVPs, staff coordination
Ensure every event captures leads and drives tours
Admissions & CRM Follow-Up (Daily Discipline)
Answer inbound inquiries and ensure missed calls are returned fast
Schedule tours, confirm, and follow up with no-shows
Use CRM daily: log calls, texts, emails, tour notes, next steps
Maintain a pipeline report: new leads, contacted, tours set, tours completed, deposits, enrollments
Coordinate with Director/Owner on enrollment gaps (age groups, pricing, promos, messaging)
Requirements
2+ years in community outreach, events, admissions, sales, hospitality, or grassroots marketing
Comfortable talking to strangers and building relationships quickly
Strong organization: checklists, follow-up, calendar discipline
Tech comfort: CRM, Google tools, texting/calling tools
Reliable transportation for local outreach
You’ll stand out if you have
Experience in childcare, schools, or family services
Local network in Loudoun/Fairfax/Chantilly
Social media comfort (helping promote events and partnerships)
Schedule & Expectations Full-time, with occasional evenings/weekends for events (flexed time)
This role is not classroom coverage except rare emergencies approved by leadership.
