Service Writer

Job Summary and Purpose
The responsibility of the service writer position is to perform administrative support to the Service Department. The service writer will be organized, a self‑starter, and an effective communicator that will maintain consistent and clear interactions with all department staff, customers, vendors, and management. This position will champion a “Safety First”, “Customer Focused” and a “Continuous improvement” culture. Enforce and adhere to all company policies, procedures, standards, and values. Maintain excellent customer and employee relations. Work safely at all times. Adhere to VCES safety guidelines, policies, and practices.
Main Tasks/ Responsibilities
Maintain consistent service reports and focus on timely preparation of work orders to achieve closure objectives. Accurately summarize technician notes so complete narratives reflect the complaint, cause, and correction.
Open and/or close internal and external work orders as directed in a timely manner.
Follow the approved service department administrative policies and procedures applicable to work order flow from opening to closure.
Contribute to the accurate filing and correspondence related to product updates, bulletins, and other materials, as assigned.
Assist with the coordination of work order completeness for internal and external customers, as directed.
Adhere to safety and health precautions as outlined within VCES publications.
Perform other duties as assigned by supervisor.
Education / Professional Qualifications
Must have at a minimum a High School diploma or equivalent with 2‑3 years of experience as an administrative or office assistant.
Bachelor’s degree or higher from an accredited college in business administration or a related field is highly desired.
2‑3 years of experience with warranty, sales or vehicle repair or maintenance work orders is highly preferred.
Additional Important Requirements
Customer relations and phone etiquette skills.
Proficient in Microsoft products such as Excel and Word.
Demonstrates professionalism, approaches others tactfully and respectfully, accepts responsibility, and follows through on commitments.
Works with integrity, treats people with respect, and inspires trust.
Adapts to changes in the work environment and can handle frequent changes, delays, and unexpected events.
Teamwork/supportive environment – office setting.
Able to work planned overtime when required/approved.
Bilingual is a plus – fluent in English, both oral and written.
Proficient writing skills.
Self‑management of goals and assignments with minor direction.
Requires prolonged periods of sitting and/or standing and occasional stooping, bending, and overhead reaching.
Occasional lifting, pulling, carrying, or pushing objects up to 10 lbs.
Exposure to noisy, dusty areas including outdoor elements and environment.
Must be able to climb stairs and potentially heavy equipment and use a small step ladder.
Compensation & Benefits
Base pay: $28.00 – $33.50 per hour; bonus eligible where applicable. Salary determined by location, skills, experience, and internal equity.
