Position Summary The Proposal Manager for Proposal Management supports business development efforts by coordinating deliverables and deadlines associated with the proposal development process and effective RFP response. The role reports to the Director, Competitive Insights and RFP Response. This position ensures RFP, RFI, security, compliance requests are compliant and delivered on time, fostering collaboration across departments to align proposals with organizational strategy.
Key Responsibilities
Proposal Lifecycle Management: oversee all phases of the proposal lifecycle timeline and deliverables from receiving an RFP to final submission; interpret complex RFP requirements; develop proposal strategies; identify critical compliance elements; support timely and compliant submissions.
RFP Program Management: assist end-to-end RFP process including intake, eligibility, strategy, planning, content development, executive reviews, and final submission; own proposal calendar ensuring stakeholders are aligned and deadlines met.
Team Coordination: collaborate with ELT members across Sales, Product Marketing, Marketing, Engineering, Finance; facilitate intake and strategy meetings; support sales teams with RFIs, security questionnaires; facilitate review meetings; assign and track responsibilities; act as liaison between internal teams, clients, vendors.
Continuous Improvement & Insights: track proposal performance metrics (win rates, feedback, cycle times); lead post-mortem reviews; consolidate improvements.
Artifact and Document Management: create, maintain, update process documents, proposal templates, budgets; maintain organized documentation and version control; prepare internal and external reports; maintain central repository.
Key Skills and Qualifications
2-4+ years experience in proposal management, program management or business development role.
Strong project management skills: manage multiple assignments, develop timelines, stay on track.
Analytical skills: analyze complex RFP requirements and synthesize information.
Communication & interpersonal skills: excellent written and verbal communication.
Organizational skills: meticulous organization of proposal documentation and filing systems.
Technical proficiency: experience with proposal management software (Loopio), GSuite, Salesforce.
Experience in deadline-driven, sales-first environment with sense of urgency.
Bachelor's degree in related field preferred.
Proven ability to work effectively with executive leadership and sales organizations.
