Overview

The City of Goodyear is seeking a Management Assistant in the Digital Communications Department. The position provides technical and professional-level support to the assigned department/division, conducts independent research and administrative efficiency studies, prepares reports and presentations, performs project management and statistical analysis, handles liaison duties, and provides professional-level assistance as needed. The work is performed under general direction and requires initiative, independent judgment, strong writing and communication skills, and the ability to operate with minimal supervision. Responsibilities

Performs project management and oversight by researching and analyzing information, compiling results, developing reports, making presentations, and tracking project timelines, due dates, and milestones. Coordinates, develops, drafts and updates the department/division strategic and operational plans. Facilitates and leads sessions with department divisions and work groups to assist in strategic planning efforts. Researches, compiles and analyzes information on topics including net present value, cost analyses, discovery audits, cost-saving measures, cost of service, return on investment, life cycle costing, and related analyses. Prepares and presents high-level department/division reports for City Council, executive management, Advisory Commissions, and other stakeholders. Prepares PowerPoint presentations for GEO, Council, executive management, outside agencies, and neighborhood meetings. Represents the Department by attending, facilitating, and leading meetings; summarizes highlights, provides feedback, and follows up on issues. Participates in community outreach program development and implementation; interacts with regulatory agencies. Assists in writing internal employee communications, including a weekly digital news update and leadership messaging for all employees. Assists in writing public information materials such as brochures, flyers, direct mail materials, newsletters, and Web pages; coordinates production through scheduling, writing, editing and distribution; promotes information via the City’s social media platforms. Researches questions or difficult inquiries and provides timely, accurate feedback. Tracks issues from conception to finalization and informs appropriate staff of findings. Performs other duties as assigned based on department needs and strives to enhance communications, improve operations, decrease turnaround times, and streamline processes while delivering quality customer service. Provides professional-level administrative support to all positions in the department/division as needed. Coordinates with team members to identify supply needs, organize and manage supplies, and ensure department functions run smoothly and efficiently. Manages general financial administration for the department, including reconciling staff monthly credit cards, preparing petty cash requests and check requests, monitoring expenditures, and assisting with budget processes. May serve as the Finance team representative and help prepare requisitions, purchase orders, and travel/training reservations. Prepares and presents budgetary reports and analyzes data to identify opportunities for efficiency. Requirements

Formal Education/Knowledge: Bachelor’s degree or equivalent from a four-year college program. Experience: Minimum one year of related experience. Certifications and Other Requirements: Valid Driver’s License. Reading: Ability to read and comprehend development agreements, council actions, and trade journals. Math: Ability to perform general math calculations. Writing: Ability to write memoranda, correspondence, and reports with clear English grammar and structure. Managerial: No direct supervision but may provide guidance to junior staff. Budget Responsibility: Supports preparation of budget documents; may research data for a unit or division and monitor expenditures. Policy/Decision Making: Follows established procedures and policies; more complex decisions are typically reviewed. Technical Skills: Broad practical knowledge in a relevant technical field with analytical judgment. Interpersonal/Human Relations Skills: High—capable of advising others and navigating diverse viewpoints to reach agreement. Note: This position requires strong writing, adaptability, and the ability to manage multiple tasks with accuracy. 12 Month Objectives

Months 0-6: Complete GEO orientation, learn the department’s service catalog, familiarize with department software, understand the city procurement process, attend admin team meetings, and coordinate department events and supplies. Months 6-12: Act as a strategic administrative partner, process purchasing and financial entries with minimal errors, support budget processes, update SOPs, and build vendor relationships.
