We are seeking a highly organized, detail-oriented Sales Administrative Executive to provide dedicated support to a Senior Level Manager within our Golf Travel division. This individual will serve as the administrative extension and mirror image of the Senior Manager - managing all sales-related coordination, documentation, and communication to ensure seamless execution of client programs and group travel experiences worldwide.
The ideal candidate is a proactive multitasker with exceptional communication skills, a deep understanding of golf, travel logistics, and group coordination, and a passion for delivering world-class client service.
Key Responsibilities
• Work directly with the Senior Level Manager to support all phases of the sales process, from proposal creation to trip execution and post-travel follow-up. • Prepare detailed client proposals, itineraries, and manifests, ensuring accuracy across accommodations, tee times, transfers, and international flight logistics. • Communicate professionally with clients, suppliers, hotels, and golf courses to confirm details, resolve issues, and manage updates. • Track booking progress, deposits, payments, and deadlines, maintaining organized records across multiple client files. • Coordinate group logistics including arrivals, departures, and special requests; ensure manifests align with client expectations and vendor requirements. • Collaborate with operations and accounting teams to ensure smooth handover of confirmed programs. • Maintain a high level of product knowledge across destinations, golf courses, resorts, and partner services. • Support marketing and presentation efforts, including preparation of sales decks, itineraries, and proposals using internal templates and systems. • Anticipate needs and assist in managing the Senior Manager’s daily priorities, communication, and time-sensitive deliverables. Qualifications & Skills
• Minimum 3–5 years of experience in a travel, golf, or hospitality sales support role (luxury or group travel experience preferred). • An understanding of travel specifically related to golf and golf travel, including familiarity with major destinations, courses, and tournaments would be helpful but not necessary. • Strong knowledge of international travel logistics, including airport codes, routing, and documentation requirements. • Exceptional attention to detail with the ability to manage multiple projects and deadlines simultaneously. • Excellent verbal and written communication skills; confident in liaising with high-level clients and international partners. • Strong working knowledge of Microsoft Office, CRM systems, and travel management platforms. • Self-starter with a collaborative spirit, professional demeanor, and ability to thrive in a fast-paced environment.
