Maintains official records for the Police Department
Properly files official documents for future retrieval
Reviews and destroys records as retention period expires and keeps track
Processes Open Records Requests for departmental reports and other archived date and information
Provides exceptional customer service
Responsible for the accuracy of National Incident-Based Reporting System (NIBRS) data sent to the State and Federal Bureau of Investigation (FBI)
Ensures all offense reports are validated through the NIBRS system
Provides copies of accident and/or offense reports to persons upon request
Prepares folders for incident reports
Answers the Police Department’s phone lines and addresses those calls accordingly
Greets visitors at the Police Department window and assists them with their inquiries
Retrieves and provides reports and other archived information to requesting officers
Maintains calendars, plans, and schedules meetings and events, and coordinates space, equipment, and other required resources
Monitors and maintains office supplies and related equipment
Maintains, files, and enters data into the computer system, including offense reports, crash reports, and citations
Processes other paperwork associated with arrests
Organizes offense reports and subpoenas
Assists with public records and fingerprinting
Assists in approving information, offense, and arrest reports in accordance with relevant statutory guidelines, internal policies, and general orders
Professionally greets the public, vendors, and representatives from other agencies in person, by telephone, and via email
Provides general information regarding department operations such as services provided, police case numbers, and reports
Routes mail and other correspondence or information to its intended recipient
Will be required to do some in-town travel
Perform other duties as assigned
High School Diploma or successful completion of the General Educational Development (GED) test
Two (2) years of paid administrative support experience in an administrative or clerical role
Training and experience using a personal computer with a variety of software including Microsoft Office
Valid Class C Texas Driver’s License
Reliable transportation and liability insurance
Appointment will be conditional upon successful completion of the following pre‑employment checks
Criminal background check
Controlled substance screening
