Administrative Coordinator for Workshop “Scholarship in Sound and Image”
Term position: March 2026 - July 2026
Average weekly hours: 3 hours per week except during peak period from Mid‑May to Mid‑June. When the average weekly hours can go up to 8.
Estimated total hours: 65
This is considered a part‑time, hourly, non‑benefits eligible position. The minimum starting rate for the position is $24.47 per hour.
Core Responsibilities:
Process invoices for 16 U.S. and international workshop participants and 2 guest faculty.
Confirm travel itineraries for workshop participants and guest speakers.
Manage limited engagement agreements for guest speakers / mentors (incl. IC worksheet, tax documents, process invoices in Oracle).
Support with onboarding / orienting the student employee who assists the workshop.
Coordinate on‑campus housing for participants and faculty with Language School administration.
Events management: room reservations, welcome dinner, catering.
Make arrangements for meals with Dining department.
Van rental.
Qualifications:
Solid experience with Middlebury’s administrative processes and systems.
Familiar with finance component of Oracle (invoicing, bill pay) and Banner.
Ideally, experience as academic department coordinator.
Detail oriented, focus on quality control and time management.
Excellent communication skills, including with international constituents from diverse cultural backgrounds.
