Summary
The Advertising and Events Administrative Coordinator supports the management of advertising packages and sponsorship fulfillment for the association’s print and digital platforms. This role ensures advertisers and sponsors receive timely, accurate service and deliverables. This position also supports key aspects of meeting planning and execution of the association’s expo, as well as other industry-related events, both internal and external. Additionally, the coordinator works directly with members to facilitate the registration process for all trade shows and meetings.
Primary Responsibilities Advertising & Brand Growth
Assist with coordinating advertising packages for print and digital publications
Track advertising inventory, provide advertisers with material reminders, and ensure all submissions meet specifications and deadlines
Maintain advertising and sponsor databases and email lists; ensure up-to-date records and contacts
Create advertising emails and update content on web and email platforms
Create advertising analytics reports and maintain knowledge of ad performance
Cultivate relationships with advertisers
Fulfill mailing requests for print magazine
Perform other duties as assigned
Meetings
Provide administrative support for planning annual convention, golf tournament, summit and online auction.
Answer convention/meetings phone line and assist with attendee and exhibit staff registration processing, attendee communication, exhibitor communication, and event materials preparation
Manage updates in multiple association software solutions and website support.
Manage the collection of exhibitor Certificate of Insurance (COIs)
Assist Director of Convention & Meetings with convention/event sponsorship fulfillment
Assist Director of Convention & Meetings with convention/event signage
Coordinate the preparation and shipment of materials for Expos and other industry events
Perform other duties as assigned
Qualifications
1–2 years of experience in administrative, advertising, or event coordination roles (association or nonprofit experience a plus)
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency with Microsoft Office Suite; familiarity with CRM, AMS, or email marketing systems is a plus
Working knowledge of Adobe Creative Suite, WordPress, and Google Analytics
Ability to manage multiple tasks and meet deadlines
Willingness to travel occasionally for association events and trade shows
