Summary: The Executive Director of the City of Quitman’s Chamber of Commerce is responsible for overseeing the organization’s strategic direction, membership engagement, advocacy efforts, and community development initiatives. The role will involve leading the development of programming and outreach in the community, promoting and supporting the community through marketing and event hosting, and representing the community to others. The Executive Director will be expected to have an understanding of economic development, organizational leadership, event planning, and collaborative partnerships. They will also be responsible for ensuring transparent communication and active engagement with Chamber members and the community. The Chambers philosophy will be “Help Others Win” guiding their efforts to empower small businesses and drive sustainable growth in Wood County and the City of Quitman.
Executive Director Job Description Reports To: City Administrator
Hours: 40+hrs/week, generally Monday-Friday, 8am to 5pm, and events outside normal work hours as scheduled. This position is considered full-time and may have some flexibility to hours, Exempt.
Salary Range: $45,000-$55,000 a year, health/retirement benefits, vacation and city holidays, possible incentives, based on experience.
Duties & Responsibilities Strategic Planning / Responsibilities
Develop and implement strategic plans that align with the Chamber's mission and goals.
Identify and develop revenue generation programs and events.
Develop strategies to attract new members and retain existing ones.
Apply for grants and identify funding sources to support the Chamber’s initiatives and programs.
Regularly assess the effectiveness of programs and services; adjust based on feedback and performance metrics.
Recruit and retain Chamber business members by consistently providing value to memberships and the business community. Complete regular membership visits and discuss the needs of Chamber members.
Develop and execute a marketing plan to cultivate interest in Quitman, member, and tourist engagement. Maintain the Chamber’s and City websites and social media sites to include Facebook, Instagram, LinkedIn and other appropriate channels.
Plan and maintain the Chamber master event calendar for major Chamber and City sponsored events, Grand Openings and Ribbon Cuttings, City Council meetings and Quitman Development Cooperation Board meetings; oversee the planning and execution of all Chamber events, including scheduling, logistics, recruiting volunteers, sponsorships, advertising, maintaining budget, etc.
Administrative / Fiscal Management
Oversee the general finances of the Chamber Board and develop an annual budget for the Chamber’s operations.
Provide accurate and timely financial records to the Chamber Board, including accounts receivable, accounts payable, and payroll.
Work with the City’s Finance Director as needed to reconcile accounts and provide financial reports to the City Administrator and Chamber Board.
Maintain expenditures within the framework of the budget.
Develop goals and objectives for recommendation to the Chamber Board.
Serve as the principal spokesperson and ambassador for the Chamber of Commerce.
Process membership payments and other incoming payments.
With assistance and approval of the Chamber Board and City Administrator, develop an annual budget that delineates projected revenues and expenses and a projected net profit as appropriate.
Lead, direct and develop Chamber’s fund‑raising strategies, membership drives, sponsorship initiatives, and capital campaigns.
Oversee the contractual obligations of the Chamber with other entities.
Prepare monthly board agenda and minutes.
Other duties that are assigned or deemed necessary.
Operational & Program Management
Oversee the day‑to‑day operations of the Chamber, including management of programs, special events, staffing, membership and marketing efforts.
Manage the delivery of services and programs that provide value to members, such as networking events, educational workshops, and business resources.
Oversee the planning and execution of Chamber events, including community festivals and events.
Execute general office management duties, including answering and returning phone calls/emails, processing mail, filing, sending calendar invitations, hosting the master calendar of events, preparing letters and other documents, and monthly Chamber meeting preparation.
Provide outstanding customer service to members and the public by visiting the office.
Assist with onboarding new members and entering their data into the database.
Maintain and update databases, ensure records are current and easily accessible.
Oversee the maintenance of the physical office, including basic cleaning.
Fundraising and External Relations
Serve as the principal spokesperson and ambassador for the Chamber of Commerce.
Develop and maintain relationships with media, government officials, and community leaders.
Represent the Chamber at business and community events, meetings, etc.
Build partnerships with other organizations.
Develop and maintain a positive and helpful relationship with city and county governmental agencies, neighboring Chambers and the State Chamber.
Manage sign‑up forms and communicate with volunteers, sponsors, event vendors, businesses requesting ribbon cuttings, and the committee responsible for the activities.
Develop and send a bi‑weekly newsletter.
Schedule social media content based on newsletter content and create new content.
Update the Chamber’s media board at Jim Hogg Park.
Board Management
Work with the Chamber President to prioritize tasks and streamline communication, prepare agendas and materials for the Chamber Board and other Committee meetings.
Attend monthly Chamber of Commerce Board meetings.
As needed, attend Quitman City Council and Quitman Development Corporation, and Wood County Economic meetings.
Serve as the primary Chamber liaison between the City Council, and the Quitman Development Corporation.
Develop goals and objectives for recommendation to the Chamber Board.
Qualifications
Minimum of 1-2 years in a business‑related field or other leadership position, or other leadership positions, preferred.
Previous nonprofit management experience preferred.
Bachelor’s degree from an accredited college or university preferred; or comparable professional training and experience attained through military, industry or association service.
Experience working effectively with volunteers and volunteer groups.
Must be available for evening and weekend work when necessary.
