Role Summary

The Proposal Specialist supports EMEA sales and partner teams by owning and coordinating high-quality customer proposals and RFT/RFP/RFI/RFQ responses. The role blends strong project management with excellent writing and collaboration skills to produce accurate, compliant, and persuasive proposal content on time. You will act as a central hub, bringing together inputs from sales, technical teams, legal, pricing, services, and operations to deliver exceptional customer-facing documentation. For partner-led proposals, you will facilitate internal input and collaborate with the channel partner’s proposal team to ensure consistency and compliance with customer requirements. Proposal & RFP Management

Lead the end-to-end development of direct manufacturer-led EMEA proposals and tender submissions. Coordinate and contribute to the development of partner-led EMEA proposals, RFP/RFI/RFQ responses, and tender submissions in collaboration with the designated proposal owner. Analyze customer requirements, compliance matrices, and evaluation criteria to ensure accurate responses. Build and maintain proposal schedules, stakeholder responsibilities, and review cycles to meet deadlines. Coordinate inputs from technical sales support, engineering, product management, finance, legal, and services. Ensure deliverables are complete, customer-ready, and aligned with Extreme Networks branding and quality standards. Content Development & Optimization

Write, edit, and structure proposal content to be clear, customer-focused, and technically accurate. Tailor messaging to different verticals and customer needs, highlighting business outcomes and value. Maintain reusable proposal content, templates, and knowledge library to improve response speed and quality. Contribute to continuous improvement of proposal processes, tools, and best practices. Stakeholder & Process Collaboration

Serve as a trusted partner to EMEA sales teams to drive deal velocity and proposal effectiveness. Facilitate review sessions (pink/red teams or equivalent), incorporate feedback, and manage version control. Track proposal performance and lessons learned to refine future submissions. Support internal reporting on proposal pipeline, win/loss trends, and response efficiency where needed. Required Qualifications

University degree (Bachelor’s or equivalent) in Business, Communications, Engineering, IT, or a related field. Strong written and verbal communication skills, with the ability to translate technical concepts into compelling customer language. Fluency in English; German and additional European languages are a plus (e.g., French, Dutch, etc.). Additional languages are a strong advantage. Demonstrated ability to manage multiple deadlines and stakeholders in a fast-paced environment. High attention to detail, strong editing/proofreading ability, and a commitment to quality. Confident using corporate collaboration tools (Teams/SharePoint or similar). Preferred Qualifications

Experience in technical sales support, proposals, or bid management in the IT/networking/telecom sector. Familiarity with networking, cloud, security, Wi-Fi, or enterprise infrastructure solutions. Exposure to public sector or regulated-industry tenders within EMEA. Experience working with CRM/CPQ systems, proposal automation tools, or content libraries. Project management certification or formal training is a plus. Key Competencies
