Nova Shipping is a dynamic and growing Ocean/Air freight forwarding company, specializing in international shipping solutions. We are looking for an Import/Export Operations/Documentation Specialist to join our team. This role is critical in managing shipments from origin to destination while ensuring smooth coordination between clients, carriers, and internal teams. Key Responsibilities: Manage end-to-end freight forwarding operations for ocean and air shipments (both import and export). Coordinate and schedule ocean and air bookings for hazardous and non-hazardous cargo. Negotiate cost-effective rates with service providers to maximize profitability while meeting client needs. Arrange inland transportation, carrier bookings, and timely documentation preparation (Shipping Instructions, Certificates of Origin, export declarations, AES filings, invoices, etc.). Track and trace shipments, providing real‑time updates to clients and resolving any delays or discrepancies. Ensure compliance with international shipping regulations and company policies. Process shipment data in company systems, ensuring all required documentation is accurate and complete. Communicate effectively with vendors, shippers, carriers, and clients to ensure seamless logistics operations. Identify and resolve billing discrepancies, disputes, and operational issues in alignment with client SOPs. Monitor customs brokerage processes and maintain a strong understanding of regulatory requirements. Support internal teams with additional operational and administrative tasks as needed. Qualifications & Skills: Minimum 2 years of experience in ocean/air freight forwarding (preferred). Bachelor's degree in Logistics, Business, or a related field (preferred but not required). Strong knowledge of international shipping, including booking, documentation, and customs processes. Proficiency in CargoWise, Magaya, or similar freight management systems is a plus. Advanced Microsoft Office skills (Excel, Outlook, Word). Strong attention to detail with the ability to anticipate and resolve issues proactively. Ability to multitask and work in a fast‑paced environment. Excellent verbal and written communication skills. Ability to work in a fast‑paced environment while maintaining accuracy and efficiency.
