About the Company EqualAccess is partnering with a well-established and community-focused affordable housing provider operating across the Bronx, Brooklyn, and Manhattan. Our client develops and manages a diverse portfolio of multifamily rental properties supported by various housing programs including LIHTC, HOME, and project-based voucher (PBV) initiatives. As their portfolio grows, they are seeking a mission-aligned professional to support leasing and applicant outreach for new and renovated housing developments.
Position Summary
The Lease Renewal Specialist supports lease renewal execution, tracking, and documentation for conventional and subsidized units. The role focuses on timely processing, data accuracy, tenant follow up, and compliance with agency requirements. The specialist works under the direction of the Lease Renewal Manager and is accountable for meeting assigned renewal deadlines and quality standards.
Key Responsibilities Reporting and Tracking
Review upcoming lease expiration dates and report discrepancies to the Lease Renewal Manager.
Update Legal and Accounts Receivable tracking files for tenants expiring in upcoming months.
Maintain monthly pending lease folders for renewals two months prior to expiration.
Update shared tracking files with tenant contact information and subsidy type.
Maintain and organize shared Excel trackers and renewal folders.
Upload and maintain renewal documents in the electronic filing system.
Lease Generation and Processing
Generate leases and lease packets in RealPage and save in correct monthly folders.
Review lease terms for accuracy including rent amounts, dates, utility allowances, and subsidy calculations.
Calculate S610 rents for applicable subsidy cases.
Correct lease data prior to manager review and escalation.
Prepare renewals for execution through AdobeSign or printed delivery.
Track executed leases, scan completed documents, and mail finalized copies as required.
Prepare and save RIR packages for submission to HPD and NYCHA.
Communication and Tenant Follow Up
Begin renewal outreach based on established timelines, including early outreach at least 90 days prior to expiration.
Contact tenants by phone and email to secure timely lease execution.
Prepare PBV Excel files for manager review prior to agency submission.
Respond to internal and external inquiries related to renewals and household compositions.
Update AdobeSign records for expiring leases.
Escalate nonresponsive or complex renewal cases to the Lease Renewal Manager.
Mailing and Documentation
Mail renewal documents to tenants without electronic access or who are non-responsive to digital delivery.
Track mailing dates and execution status in renewal trackers.
Maintain proof of mailing documentation for all mailed renewals.
Ensure renewal files meet established documentation and retention standards.
Compliance and Quality Control
Follow agency and internal compliance procedures for LIHTC, Section 8, PBV, and 610 units.
Participate in file audits and spot checks as assigned.
Ensure files are complete, accurate, and audit ready prior to submission.
Training and Coverage
Attend required internal and agency training.
Successfully complete LIHTC training with a passing exam score.
Participate in cross training to support team coverage during absences.
Follow written procedures for renewal and subsidy workflows.
Skills and Qualifications
2–4 years of experience in leasing, occupancy, or affordable housing compliance
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.) and familiarity with Real Page or similar systems
Bilingual English and Spanish required.
Team-oriented, reliable, and proactive in problem-solving
Strong attention to detail and data accuracy.
Excellent organizational and record-keeping skills
Ability to multitask and manage assigned renewal volume and deadlines in a fast-paced setting
Strong written and verbal communication skills
Ability to work within shared workflows and team accountability.
