Provide administrative, communication and client support for National Account Directors, Sales Account Managers and Business Development Reps in a high work volume environment, supporting the organizations efforts in promoting Orlando as the Premier Meetings and Convention Destination. Location

We operate on a hybrid work model, which requires employees to be in the Orlando office at least twice a week. Major Areas of Accountability Enters leads based on information provided by the sales team into CRM to send out to members. Maintain CRM with accurate information, obtain approvals for tentative and definite business and communicate status to hotel community. Provide proactive day-to-day support to sales team to assist with obtaining sales goals. This includes pulling tentative lead reports, following up on responses and communicating consistently with assigned sales team. Send definite verification forms to members to fill out via CRM and update the information in the system. Maintains a solid working relationship with peers at member hotels to ensure timely responses to leads and DVFs. Work with the Convention Marketing Team in CRM to produce electronic proposals for clients in a timely matter. Types, copies and distributes all correspondence, including printed materials such as LOIs, bid books and email, in a timely and accurate manner. Formats and sends housing charts out to clients upon request. Processes amenity requests for Sales team an accurate and timely manner, including packing and shipping. Act as back-up for lead catcher for all RFPs and incoming leads. Responsible for entering and updating all the RFP information in CRM, within 24 hours of receipt. Responds to all telephone calls in a friendly and professional manner. Transfers calls to the appropriate team member in a timely manner. Organizes travel arrangements when needed for the Sales team and/or clients including airfare, hotels, and car rental. Assists in coordinating lists for destination orientations and sales missions. Assists with obtaining attendee lists from shows attended by the sales team, including preparing data and uploading into CRM. Attend site visits, internal and external meetings as set and approved by the Manager of Sales Support. Research future potential clients by gathering general information on the company such as headquarter info, meeting history and company demographics. Consistently exemplifies Visit Orlando Core Values in daily interactions with Visit Orlando team members, prospects, clients, members, and partners resulting in greater business success. Provides support to other Visit Orlando departments as needed. Ensures protection of the Orlando Brand. Serves as Brand ambassador. Ensures own work area is maintained in a safe and clean manner. Performs other accountabilities and projects as assigned.

Qualification Requirements

Education and/or Experience Associates degree from college; plus, two to three years related experience; or equivalent combination of education/training and experience. Computer Skills Keyboarding speed of 50 cwpm, proficiency in MS Word, Excel and Outlook. Database experience a plus. Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to prioritize with a high-volume workload. Physical Demands While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; and talk or hear.
