We are actively looking for an experienced

Commercial Real Estate Property Manager

to join our growing organization in the Hampton Roads area.

Only accepting candidates with commercial property management experience.

Job Overview The Property Manager will manage tenant relationships, property operations and costs, approved capital expenditures and the tenant improvement process for assigned commercial properties. The Property Manager will also provide direction and training to administrative and technical personnel as necessary to meet all Commonwealth Commercial Partners (CCP) standards.

Key Responsibilities Property Inspection and Maintenance

Regularly inspect and evaluate all building components, equipment, systems and grounds to ensure that the appearance and operation of the properties meet CCP standards.

Coordinate routine technical service/response, 3rd party vendors and emergency response services, as required.

Proactively develop, enhance and maintain emergency procedures and preventive maintenance programs.

Assist leasing representatives and brokers who show managed space to prospective tenants.

Manage the move-in process to CCP’s standards and tenant’s satisfaction.

Ensure all CCP customers know you can assist them with their real estate needs.

Visit tenants regularly and maintain a positive, productive and professional relationship.

Complete documents pertaining to lease administration and coordinate all required activities with the assigned lease administrator.

Assist with tenant renewals, expansions and contractions including coordination of move-outs.

Provide the highest possible level of customer service to tenants.

Work Orders

Fully utilize the CCP work order system, as it relates to your portfolio, to ensure that tenant service calls are handled to 100% customer satisfaction.

Contracts

Negotiate contracts with outside vendors to provide services as required and ensure the work performed by contractors is performed timely and appropriately.

Meet CCP requirements regarding bidding and insurance levels for contracts and ensure the portfolio that you are assigned meets/exceeds all CCP internal audit standard requirements.

Budgets/Financial Controls

Actively participate in the capital planning process.

Develop and manage the annual budgets for assigned properties ensuring that the properties operate within budget and achieve/exceed targeted NOI.

Increase revenue, proactively control costs and maximize property lease ability.

Approve all invoices payable.

Review monthly operating reports and explain budget variances.

Review quarterly trial balances and ensure proper allocation of service costs.

Manage collection of accounts receivable and tenant default situations.

Monitor Real Estate taxes and evaluate possible appeals.

Ensure accurate financial records, track income and expenses, manage budgets and provide financial statements to property owners and stakeholders to help owners make informed decisions about their real estate investments.

Handle Tenant Improvements (TI) as assigned/directed, following all appropriate protocols.

Provide required project status updates and participate TI reviews.

Coordinate progress meetings and/or project planning to stay within schedules and on budget.

Manage job cost/tracking sheets, punch lists and close out projects.

Activity and Status Reports3>

In conjunction with accounting, lease administration and asset management, prepare and deliver accurate, timely and complete financial reports pursuant to CCP standards and PMA requirements.

Forecast management plans and prepare weekly updates and monthly performance reports, providing all necessary detail and variance explanations including property activities and tenant relations.

Create, maintain and report on all lease records in the commercial management module of Yardi accounting system.

Prepare the analysis and reporting of actual operating performance with operative plan and prior year results to provide information to allow management to make informed decisions and drive business growth.

Lead effort to minimize property exposure and losses.

Obtain Certificates of Insurance and waivers from tenants, contractors, suppliers and other third parties, assuring adherence to safety guidelines pertinent to property visitors, tenants and employees.

Direct employee participation in company workplace illness and injury prevention programs and assure adherence to accident-avoidance initiatives.

Provide post-accident follow-up including reporting, investigation and liaison for insurance, legal and incident prevention purposes.

Analyze daily and monthly results and communicate risks and opportunities to management for decision-making.

Required Skills/Abilities/Qualities To perform this job successfully, an individual must be able to perform each essential duty, listed above, in accordance with standards set up by the Company for this position. The requirements listed below are representative of the knowledge, skill, and/or ability required for the position of Property Manager.

Significant commercial property management and tenant management experience with demonstrated track record of success.

Experience managing engineers/technicians, third-party vendors and contractors.

Detail-oriented with a high level of accuracy and precision.

Proficient in calculations and financial reporting.

Advanced level of analytical, interpersonal and communication (both written and verbal) skills.

Self-starter with strong time management, organizational and problem-solving skills.

Proven ability to think, communicate and implement strategically.

CPM, CFM or RPA designation preferred.

Experience with Yardi, MRI, Kardin or work order systems is a plus.

Proficiency with Microsoft Office software programs: Word, Excel and Outlook.
