This role serves as a trusted partner to the CEO, enabling effective time management, communication, and execution of Vitra's priorities. The Senior Executive Assistant interacts regularly with the Leadership Team, senior stakeholders, and external partners, and must exercise sound judgment, confidentiality, and professionalism. This role requires exceptional organizational skills, attention to detail, and the ability to manage a wide range of administrative responsibilities and oversee operations of the Boston Office. Essential Functions Proactively and accurately manage the CEO's calendar, understand prioritization of events, and manage and communicate changes. Ensure the timely, accurate, and confidential execution of requests and tasks. Support board and management meetings. Support strategic planning initiatives, special projects, and executive decision-making by collecting, analyzing, and preparing information for internal and external audiences. Anticipate the CEO's needs by proactively preparing materials, briefing documents, and agendas. Responsible for the coordination of complex, internal meetings, and management of all associated logistics Coordinate logistics of programs and special events including team meetings, conferences, seminars, workshops, off-site meetings, special projects, and department outings/team building. Assist in preparing, organizing, and sending pre-read materials for meetings, including agendas, reports, presentations, and meeting minutes, including action items. Responsible coordinating weekly and monthly reports to the CEO Serve as a liaison between executives and internal/external stakeholders, fostering strong professional relationships. Exercise independent judgment to resolve day-to-day issues, ensure compliance with organizational policies and regulatory requirements, and coordinate technology and systems needs in partnership with Information Systems. Manage Boston office operations. Fosters a culture of customer service and commitment to quality care. Serves as a brand ambassador to Vitra reflecting our vision, mission, and values. Displays genuine interest and compassion for the communities we serve. Embraces and champions a culture of diversity, equity, and inclusion. Interfaces with clients for customer service evaluation as needed. Education, Experience and Licensure Requirements Bachelor's or associate degree required. The role will require flexibility and adaptability in a fast-paced environment, with the ability to proactively anticipate needs and provide solutions. 4+ years of experience as an Executive Assistant or in a similar role, with a proven record of accomplishment supporting C-level executives in fast-paced, high-growth environment. Demonstrated ability to manage and prioritize a wide range of tasks while maintaining exceptional attention to detail and quality. Occasional weekend or after-hours work may be required as this is a customer-facing role. Strong written and verbal communication skills, with the ability to craft clear, compelling messages that reflect the voice of the CEO. Advanced proficiency with Google Workspace (Gmail, Calendar, Drive) and other relevant office management and communication tools A strategic thinker with a proactive, problem-solving mindset and a can-do attitude Proven ability to handle sensitive information with integrity and confidentiality. Experience working in dynamic environments, with the ability to stay resilient under pressure, adapt quickly to changing priorities, and drive projects to completion. Skilled at managing challenging situations and working effectively with diverse personalities. Committed to building a long-term Executive Assistant careeryou are looking to grow in this role, not use it as a transition. Spanish speaking preferred but not required. Requires lifting and carrying equipment and supplies weighing up to 35 pounds; require pushing and pulling equipment and supplies weighing up to 35 pounds; require walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to navigate stairs; requires visual acuity and manual dexterity to operate equipment.
