Position Senior Executive Administrator – Enterprise Operations

The Senior Executive Administrator – Enterprise Operations provides high-level administrative, operational, and strategic support to the executive leadership team, including the CEO, President, CFO, COO, and General Counsel. This role serves as the central operational backbone for the executive team and acts as the Finance, Technology, and Operations Champion, ensuring consistency, scalability, and best practices across executive administration. This position drives adoption of enterprise tools, champions standardized processes, supports executive logistics and events, and serves as a trusted liaison across leadership, enabling the organization to scale efficiently and cohesively. This role consolidates executive support, operational excellence, financial process discipline, and technology enablement into a single senior position that ensures seamless executive operations across the organization.

Key Responsibilities

Executive Leadership Support

Provide direct, high-level administrative support to multiple C-suite executives, including complex calendar management, confidential communications, and strategic project coordination.

Act as a trusted liaison between executives and internal/external stakeholders, ensuring clear, timely, and professional information flow.

Coordinate executive travel, expense tracking, approvals, and compliance with company policies.

Enterprise Operations Champion

Serve as the primary point of contact for executive-level operational problem-solving.

Oversee day-to-day headquarters operations (Fort Wayne), including logistics, materials coordination, and executive support workflows.

Champion operational best practices and standardization across the Executive Administration function.

Finance Champion

Drive compliance and best practices related to travel booking, expense reporting, and finance-related administrative processes.

Lead rollout and adoption of finance tools and platforms.

Act as the go-to resource for finance-related questions and rapid issue resolution for executives.

Partner closely with Finance and Legal to ensure consistency, accuracy, and confidentiality.

Technology Champion

Lead adoption and best practices for executive-facing technology tools, including SharePoint, Teams, and digital file management.

Ensure executive communications, documentation, and shared resources are organized, visible, and accessible.

Serve as first-line support for executive technology questions and process enablement.

Process Improvement & Scale

Drive creation, documentation, and adoption of standardized executive administration processes.

Collaborate with Finance, Technology, and Operations stakeholders to ensure scalable, repeatable workflows.

Support cross-training and succession planning within the Executive Administration function.

Event, Culture & Brand Support

Oversee logistics for executive events, including planning, materials coordination, and onsite support.

Serve as the bridge between executive administration, events, and marketing teams.

Promote company culture and brand initiatives through executive touchpoints and events.

Confidentiality & Professionalism

Handle highly sensitive and confidential information with discretion, integrity, and sound judgment.

Maintain the highest standards of professionalism, trust, and executive presence.

Qualifications

7+ years of progressive executive administrative experience supporting C-suite leadership.

Proven experience in enterprise operations, executive support, or office operations.

Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint).

Exceptional organizational, communication, and problem-solving skills.

Demonstrated ability to manage competing priorities and operate independently in a fast-paced environment.

Proven experience driving process improvement and technology adoption.
