The Market Center Administrator (MCA) / Director of Operations (DOO) is a senior leadership role responsible for the financial integrity, operational excellence, and profitability of Keller Williams Realty Portland Central.

This role partners closely with ownership and leadership to drive market share, profitability, agent retention, and world‑class service through disciplined execution, accurate financial management, and scalable systems.

The MCA/DOO acts as the financial and operational backbone of the Market Center, ensuring compliance, clarity, and confidence for agents, staff, and leadership.

Key Responsibilities

Drive office profitability through disciplined financial oversight, budgeting, forecasting, and reporting.

Oversee full accounting operations including income, expenses, assets, and liabilities using AccountEdge.

Process commissions upward of $1B annually with accuracy, speed, and transparency.

Manage payable, accounts receivable, agent billing, and vendor relationships.

Conduct bank reconciliations twice monthly and close accounting books each month.

Prepare monthly financial reports including profit, closings, and company dollar tracking.

Coordinate year‑end accounting, tax preparation, and liaison with CPA.

Manage 1099 reporting, garnishments, income verifications, and compliance requirements.

Oversee healthcare, 401(k), E&O insurance, workers compensation, and general liability programs.

Manage Washington State business tax filings and regulatory obligations.

Maintain tight expense controls across three office locations.

Agent & Staff Support

Provide exceptional customer service to approximately 200+ agents and clients.

Serve as the primary resource for financial, commission, and operational inquiries.

Support agent retention through financial accuracy, speed, and high‑level business conversations.

Participate in agent consulting conversations including 2‑10‑40's and goal tracking.

Attend and present at business meetings including GCI awards and profit share.

Assist in staff leadership, development, accountability, and recognition for a team of approximately 10 employees.

Leadership & Strategic Execution

Collaborate with leadership to plan and execute strategies for sustained profitability and growth.

Build and maintain systems that allow leadership to focus on conduct and market share.

Monitor pipeline metrics to support the 4:1 conversation ratio and validate system effectiveness.

Construct projections for appointments, gross commission income, net income, and profit.

Communicate actual results regularly and identify solutions when performance is off target.

Develop and communicate the Market Center value package monthly.

Leverage the Daily Company Dollar tool to track received and pending income.

Implement leverage models and accountability systems to scale operations effectively.

Qualifications & Skills

Strategic, supportive, and confident leader with a high level of integrity.

1–3 years of experience in accounting, administration, management, or real estate operations.

Strong written and verbal communication skills.

Detail‑oriented with exceptional organizational and project management abilities.

Technologically proficient and adaptable in a fast‑changing environment.

People‑oriented, proactive problem solver with a service mindset.

High school diploma required; college degree preferred.

Flexibility to evolve with technology, systems, and organizational growth.
