Job Summary The Event Specialist plays a critical role in executing Voyager’s presence across high‑visibility trade shows, conferences, customer engagements, events and executive programs. This position ensures that every event reflects Voyager’s brand, supports strategic business objectives and delivers a seamless, high‑quality experience for customers, partners and internal stakeholders. Working as part of the Communications and Marketing team, the Event Specialist manages the end‑to‑end planning process, from early requirements gathering and venue research to on‑site coordination, executive support, and post‑event reporting.
Responsibilities
Plan, coordinate, and execute Voyager’s domestic and select international trade shows, conferences, customer engagements, executive appearances, and corporate events from concept through on‑site delivery and post‑event closeout.
Serve as the primary integrator of all event information. Continuously gather requirements, update planning documents, and proactively communicate timelines, deliverables, risks, and changes to internal teams, senior executives and external partners.
Develop and manage executive briefing materials and detailed event schedules, ensuring alignment with strategic priorities, customer expectations and mission‑critical engagement objectives.
Work closely with senior leadership and cross‑functional stakeholders (business development, communications, marketing, product, operations and security) to ensure customer engagement strategies and event goals support broader business outcomes.
Research, evaluate and recommend venues and vendors based on customer and event requirements (budget, scale, accessibility, technical needs, A/V, aesthetics, security protocols and operational constraints), including conducting site visits as needed.
Lead full‑scale logistics planning and execution for complex, high‑visibility events in compliance with company policies, branding standards, security requirements, accessibility standards and U.S. and foreign government regulations.
Advise executives and internal teams on protocol, etiquette and event best practices; develop run‑of‑show, program formats, talking points, etc. in accordance with corporate and government protocol.
Provide on‑site event leadership, managing vendors, schedules, staff, production teams and customer experience to ensure flawless execution and rapid issue resolution.
Identify, propose and implement process improvements that enhance operational efficiency, attendee experience, stakeholder coordination and ROI measurement.
Maintain strong relationships with key partners, stakeholders and customers, ensuring consistent communication, alignment and high‑quality service delivery throughout the event lifecycle.
Track event budgets, contracts, invoices and post‑event metrics to support financial accountability, vendor performance and continuous event optimization.
Required Qualifications
A+ work ethic and flexibility to work atypical hours, including nights and weekends, to ensure event success, with domestic and international travel as required.
Demonstrated event project‑management skills.
5–7 years of experience planning and executing trade shows, conferences and corporate events, including direct support to senior executives.
Strong project‑management skills with exceptional attention to detail and the ability to manage multiple priorities under tight deadlines.
Proven experience in customer‑facing roles and collaborating with geographically dispersed teams.
Proficiency with event‑management tools (registration platforms, event apps) and the Microsoft Office Suite.
Strong communication, interpersonal and relationship‑building skills.
Self‑starter with the initiative and discipline to operate with minimal supervision in a fast‑paced environment.
Preferred Qualifications
Experience developing and managing event‑related technology including registration systems, event‑management systems, event apps, etc.
Experience with contract negotiations.Knowledge of international cultures, customs and ethics policies.
Experience working with Airtable and Asana.
Preference for experience within Aerospace and/or Defense.
Certified Meeting Professional.
Compensation & Benefits $90,000 – $115,000 USD. Voyager offers a comprehensive total compensation package, including competitive salary, discretionary annual bonus plan, paid time off health benefits, retirement savings, wellness program and other benefits.
