Marketing Department Administrative Assistant
Overview: D&B Engineers and Architects is hiring a Marketing Department Administrative Assistant. D&B delivers thoughtful, high-quality design and engineering solutions for public and private clients. Our marketing team supports business development, proposal production, brand consistency, and event/program coordination across our practice areas. We’re looking for a reliable, detail-oriented Marketing Department Administrative Assistant to keep our team organized and moving forward.

Responsibilities
Serve as the primary administrative support for the marketing department (calendar management, meeting coordination, data entry, digital file management, executing documents for proposals).
Manage department inboxes, and routing of client RFP/Q opportunities.
Assist with proposal assembly: document control, downloading & uploading to portals, addendum checks and distribution.
Maintain marketing asset library: project photos, resumes, templates, and contact lists.
Coordinate events/conferences collateral, and career fair logistics (registrations, shipments, materials).
Support CRM upkeep: data entry, list hygiene, and running basic reports.
Help with ad hoc marketing tasks: printing, local proposal delivery, etc.
Qualifications
Bachelor’s degree in business, marketing or other closely related discipline is preferred.
3-5 years of experience in business, marketing or other closely related discipline in the A/E/C industry.
Strong organizational skills and ability to manage multiple priorities with tight deadlines.
Proficient with Microsoft Office (Word, Excel, PowerPoint); Adobe Suite is a plus (we will train if needed).
Comfortable learning CRM (Unanet) and file‑management systems (Egnyte).
Excellent written/verbal communication and attention to detail.
Team player with a positive attitude and professional demeanor when interacting with project teams and clients.
Ability to lift/move marketing materials and boxes on occasion.
Schedule Monday through Friday
Salary Range $52,000 – $72,800
