Court Clerk

Performs a wide variety of administrative duties in support of the municipal court including the initiation, processing, and maintenance of legal documents, preparation of correspondence and statistics, and provision of information and assistance to the public in person, by phone or email. Implements operational systems and procedures related to court activities in compliance with state/local laws and city policies. Prepares, reviews, processes and monitors criminal and administrative cases filed in Municipal Court. Enters data and maintains the status of court cases in the Court's software system. Essential duties include: Import and process daily citations issued by law enforcement, Code Enforcement, and Animal Control. Provide courteous, professional customer service at the court window and by phone, assisting defendants with court procedures, case options, fines, payment plans, hearings, trials, and alternative dispositions. Receive and process pleas; prepare judgments and court documents for Municipal Judge execution. Apply and process payments, determine applicable fees, balance daily collections, and prepare deposits while ensuring accurate financial records. Maintain, verify, and update case information in the court's software system; prepare and process correspondence, notices, and legal documents. Prepare court dockets and documentation for hearings and trials, including subpoenas and case materials for the City Prosecutor. Assist the Judge and Prosecutor during court proceedings and coordinate courtroom activities. Handle confidential information with discretion and professionalism. Respond to sensitive citizen inquiries and complaints in a professional manner. Perform filing, scanning, and other administrative duties as needed. Attend required meetings and trainings; remain current on municipal court procedures and regulations. Perform additional related duties as assigned. Qualifications include: Ability to follow oral and written instructions. Strong multitasking skills in a fast-paced, detail-oriented environment. Professional and respectful communication with the public, City staff, and external agencies. Reliable attendance and dependability required. Knowledge: Texas Municipal Court procedures; Microsoft Office software, primarily Excel and Word; Incode Software (preferred); Proper cash handling procedures; basic mathematical calculations; principles of customer service; current office practices, procedures and computer equipment; and technology and software applications that can enhance the effectiveness of the Department. Minimum qualifications: Education: High school graduate or GED required. Some college work in Public Administration or related field preferred. Experience: A minimum of two (2) years Municipal Court Clerk experience or similar experience in the public sector; Bilingual

English & Spanish speaking ability preferred. Licenses and Certifications: Texas Class C driver's license. Must obtain Municipal Court Clerk Level I Certification within 18 months of hire and maintain certification throughout employment. Physical demands and work environment: Must be able to sit or stand for long periods answering phones, assisting defendants, performing computer work, filing, copying, scanning, and other administrative work. Must possess general manual dexterity to operate computer, office machines, perform filing or other office functions; and reach with hands or arms. Must be able to move about office, bend or stoop, retrieve files, lift books or other materials, use step-stools and step-ladders to store and retrieve items of various sizes, shapes and forms weighing up to 30 pounds. Must be able to handle stressful situations. Must possess mental acuity for attention to accuracy and detail. Must see in the normal visual range with or without correction. Must hear in the normal audio range with or without correction. Work is confined mainly to an office setting. Hours are typically set. Stressful situations are inherent to this position. Work may occasionally require travel, including over-night stays, involving training and conducting City business.
