Job Description:
The Intake/Case Control Staff member serves as the primary point of contact for the Commission, providing timely, professional, and accurate responses to public inquiries. This role supports the complaint intake and case control process by interviewing complainants, analyzing information, preparing case files, and ensuring compliance with applicable civil rights laws and Commission procedures. The position requires strong organizational skills, sound judgment, integrity, and the ability to handle sensitive and confidential information.
Key responsibilities include: Responding to online, telephone, and in-person inquiries regarding the filing of complaints and Commission processes. Conducting effective interviews with potential complainants to gather relevant facts and documentation. Analyzing, summarizing, and organizing information received through online inquiries and public contact. Drafting complaints and preparing investigative case files for referral to investigations staff. Sending Notices of Complaint, interrogatories, and other correspondence to relevant parties. Analyzing and applying relevant state and federal civil rights laws to determine jurisdiction for enforcement under Indiana Civil Rights Law (ICRL). Drafting motions and Commission documents, including administrative dismissals and default orders, as assigned. Researching databases and other sources to obtain accurate contact information for parties and witnesses. Maintaining accurate records and completing required monthly reports. Providing excellent customer service while maintaining professionalism, confidentiality, and compliance with Commission policies. Performing other duties as assigned to support the Intake/Case Control division. Skill Requirements: Legal Analysis & Interpretation:
Ability to interpret, analyze, and apply Indiana Civil Rights Law, federal civil rights laws, and Commission policies. Attention to Detail:
Strong accuracy in handling sensitive and confidential information and preparing case documentation. Interpersonal Skills:
Ability to communicate effectively and professionally with the public, often in sensitive or challenging situations. Organizational Skills:
Capacity to manage multiple cases and tasks simultaneously while meeting deadlines. Customer Service Orientation:
Commitment to providing courteous, clear, and responsive service to internal and external stakeholders. Technical Proficiency:
Working knowledge of computers and Microsoft Office Suite; ability to type with speed and accuracy. Judgment & Integrity:
Ability to exercise sound judgment when handling confidential information and complex cases. Communication Skills:
Strong verbal and written communication skills to draft complaints, correspondence, and reports. Preferred Qualifications: Practical knowledge of Indiana Civil Rights Law and federal civil rights laws. Experience interpreting and applying policies and procedures related to discrimination complaints. Familiarity with investigative or case management processes. General knowledge of the functions of related departments and agencies and their relationship to the Intake/Case Control division. Proven ability to establish and maintain cooperative working relationships.
