Provide executive support to the SVP, US Asset Management, including managing their calendar, schedule meetings, and handle correspondence Prepare executive-level reports, presentations, and documents as required Assist in organizing and coordinating special events and projects Act as a central point of contact for internal and external stakeholders Handle all aspects of meeting support including logistics, and agendas Maintain digital filing systems for construction drawings, specifications, contracts, and projects documentation Prepare, submit, and track project related reports Support contracting drafting using established templates and ensure document accuracy and compliance Review invoices against open purchase orders Other construction-related support as needed Arrange domestic and international travel, accommodations, and itineraries Plan and coordinate company meetings, events, and team offsites Curate and order swag and corporate wear Support creation of expense reports Maintain office supplies and organization Provide scheduling support and assist with meeting preparation Calendar management Draft correspondence as needed Liaise with vendors and service providers Manage incoming inquiries and route appropriately Other duties as required What will you need?
3-5 Year’s related experience Proficient in Microsoft Office, Google Workspace, and/or contract or project management tools Construction-related experience highly preferred Strong skills in document control, digital filing and managing drawings/specifications Strong written and verbal communication skills Experience coordinating travel and events Ability to work independently, anticipate needs, and take initiative Prior experience in executive support, administrative coordination, operations, or similar roles experience preferred Highly organized and detail-oriented Professional and discreet with confidential information Strong problem-solving and follow-through skills Team-oriented with a service mindset Keen sense of urgency while maintaining attention to detail What do we offer?
