Overview This role supports field-led events and programs by managing the end-to-end process for exhibits, sponsorships, and corporate memberships — from request intake through contracting, approvals, and payment. You’ll partner with field teams and internal stakeholders to ensure requests are handled accurately, compliantly, and on time. The role also contributes to broader commercial operations projects and reporting.

What You’ll Do

Submit and manage exhibit, sponsorship, and membership requests in the Request Management System, ensuring accuracy and compliance with internal policies

Partner with Compliance, Marketing, Field, and Finance teams to keep requests moving smoothly from submission through approval

Manage contracting, payments, and required spend transparency reporting for approved requests

Reconcile completed requests and ensure proper close-out in the system

Communicate regularly with field teams and cross-functional partners to track status, resolve issues, and keep timelines on track

Work with external organizations to collect required documentation, verify materials, and support timely and accurate payment processing

Maintain organized records for reporting, audits, and operational tracking

Support additional team projects and operational needs as assigned

Education

Bachelor’s degree required (business, operations, or related field preferred)

Experience

1–2 years of relevant experience in project management, operations, administration, or a related field

Experience working in a professional office environment

Experience working with vendors or external organizations (such as hospitals or health systems) is a plus, but not required

Skills & Qualifications

Experience in project management, operations, or administrative support, ideally in healthcare or pharma (preferred, not required)

Strong organizational, communication, and multitasking skills

Comfortable collaborating across teams and managing multiple priorities

Familiarity with compliance or sponsorship processes is a plus

Experience with tools like CyberGrants, Icertis, iProcurement, or Veeva (preferred, not required)

Proficiency in Microsoft Word, Excel, PowerPoint, Teams, and virtual meeting tools like Zoom

Highly detail-oriented, organized, and focused on accuracy and quality
