Role Overview The successful candidate will be responsible for managing front desk operations, handling inquiries both in person and over the phone, and providing general administrative support. This role also involves disseminating information about our law firm to clients, customers, and the public.
Key Responsibilities
Answer and direct telephone calls, screen calls, and relay messages.
Greet visitors and direct them to the appropriate destination.
Respond to public inquiries and maintain security awareness.
Provide general administrative and clerical support.
Manage mail and deliveries.
Schedule appointments and organize conference and meeting room bookings.
Maintain the appointment diary, both manually and electronically.
Ensure the reception area is tidy and presentable.
Utilize Needles case management software to update clients on the status of their claims.
Perform various administrative tasks as needed.
Must have strong attention to detail.
Serve as the first point of contact for clients, representing Amaro Law Firm with professionalism and a welcoming demeanor.
Qualifications
Bilingual (Spanish) is required.
3 - 5 years of experience in a front desk setting.
High school diploma or equivalent required.
Previous experience in a law office is highly preferred.
Proficient in Microsoft Office Suite (Outlook, Word, Excel) and social media platforms.
Familiarity with administrative and clerical procedures.
Strong customer service skills and principles.
Key Competencies
Strong organizational and multitasking abilities.
Exceptional verbal and written communication skills.
Professional personal presentation, as the receptionist represents the firm.
Attention to detail and the ability to prioritize tasks effectively.
Initiative and reliability, including punctuality and dependable transportation.
