About the Role
The Administrative Director serves as the
organizational and communication hub
of the summer camp. This role manages camper enrollment systems, family communications, rosters, and documentation while supporting daily camp logistics. The Administrative Director works closely with the Camp Director and site leadership to ensure families, staff, and campers experience a smooth, well-organized camp day from arrival through dismissal.
This position is ideal for someone who is detail-oriented, highly organized, and comfortable balancing administrative tasks with daily family-facing responsibilities.

Key Responsibilities
Camper & Family Support Greet early morning camper drop-offs and manage daily sign-in procedures Serve as a point of contact for families during drop-off, by phone, and via email Assist families with lunch orders, t-shirt purchases, and Extended Day enrollment Manage t-shirt inventory, sales, and distribution to campers Respond professionally to parent inquiries, concerns, and registration questions Send Welcome Letters to newly registered families Communicate weekly with families regarding outstanding balances Enrollment, Rosters & Records
Monitor registration platforms (e.g., Amilia) daily for new enrollments and changes Maintain accurate digital and printed camp rosters by week and group Prepare and distribute daily Extended Day rosters (AM & PM care) Print, file, and organize medical forms and field trip consent documents Complete rosters and sign-in sheets for upcoming camp weeks Maintain and update Summer Camp Enrollment and Mad Science spreadsheets Send updated weekly rosters to the Aquatics Director Communication & Coordination
Manage and monitor the summer camp email inbox and incoming phone calls Coordinate daily with the Camp Director regarding priorities and support needs Collaborate with fellow directors to prepare for weekly staff meetings Collect newsletter prompts from lead teachers and assist with drafting and sending weekly newsletters Distribute homeroom links and important weekly updates to families Logistics & Operational Support
Assist with lunch preparation and cafeteria setup Order Friday lunch (pizza) and place weekly grocery orders via Instacart Ensure all materials (recipes, sign-in sheets, forms) are printed, prepared, and distributed on time Handle packages, filing, printing, and general camp organization Support day-to-day operational needs as they arise What You Need to Succeed
Required:
• Must be
at least 25 years old •
Bachelor's degree required • Available to work
Mid-June through Mid-August
without interruption
Preferred Qualifications:
Experience in camp administration, office management, or family-facing operations Strong written and verbal communication skills Proficiency with registration software, spreadsheets, and email platforms Exceptional attention to detail and ability to manage multiple priorities Professional, positive, and service-oriented approach CPR/First Aid certification (or willingness to obtain)
