The Prospect Development & Database Manager is responsible for strengthening the organization's fundraising efforts by leading prospect identification, research, and fundraising pipeline support while ensuring the donor database effectively supports fundraising strategy.
This role partners closely with frontline fundraisers and Philanthropy Operations to support portfolio management, analyze donor data, and provide actionable insights that drive engagement, stewardship, and revenue growth. The position also maintains the integrity, structure, and usability of the donor database to support accurate reporting and informed decision-making.
JOB RESPONSIBILITIES
Prospect Development & Fundraising Pipeline Support • Support fundraising pipelines by identifying, qualifying, and researching prospective donors, foundations, and corporate partners. • Partner with frontline fundraisers to build, manage, and refine donor portfolios, including prospect
assignment, prioritization, and tracking. • Analyze giving history, engagement activity, and capacity indicators to inform solicitation, cultivation, and
stewardship strategies. • Maintain prospect research records, notes, and documentation to support effective moves management. • Prepare prospect lists, briefing materials, and portfolio analysis for fundraisers and leadership. • Monitor and report on pipeline activity, portfolio performance, and prospect movement to support fundraising decision-making.
Database Management & Data Integrity • Ensure the accuracy, consistency, and integrity of donor and prospect data within the CRM. • Maintain data standards, coding conventions, and documentation to support reporting, analytics, and prospect tracking. • Collaborate with Finance and Philanthropy Operations to ensure proper gift coding, attribution, and reconciliation. • Develop and run queries, reports, and dashboards to support fundraising strategy and operational needs. • Train and support staff on CRM best practices, data entry standards, and prospect tracking protocols. • Execute and maintain a structured data hygiene schedule.
Reporting, Analysis & Process Improvement • Produce regular and ad hoc reports to support fundraising performance, pipeline health, and donor
engagement. • Analyze trends and identify opportunities to improve prospect strategy, portfolio balance, and data usability. • Partner with Philanthropy Operations leadership to refine workflows, tools, and database functionality.

QUALIFICATIONS • Bachelor's degree or equivalent work experience required. • 3+ years of experience in prospect development, donor research, advancement services, or donor database management required. • Experience supporting fundraising pipelines and donor portfolios required. • Strong proficiency with CRM systems (e.g., Raiser's Edge, EveryAction, or similar) required. • Strong analytical, organizational, and communication skills required. • Experience working directly with gift officers or development leadership preferred. • Familiarity with moves management and prospect research tools preferred. • Advanced Raiser's Edge NXT experience; Blackbaud certification preferred. • Experience with online giving platforms (e.g., EveryAction) preferred. • Advanced Excel and reporting skills preferred.
MANAGEMENT
Functions as a team leader rather than a formal manager or supervisor. Provides guidance, subject-matter expertise, and cross-functional support related to prospect development and database best practices.
CONTACTS • Frequent contact with donors and contributors to the organization. • Consistent interface with Finance team. • Daily contact and interaction with Food Bank administrative staff.
