Overview
The Commercial Specialist provides the support to the Field Services Department, which includes office and field support to employees. Responsibilities
Foster an environment of teamwork, compliance and continual improvement. Adhere to the Company's objectives, i.e. Safety, Quality, Environmental and Information Security Ensure compliance with departments standard operating procedures (SOPs) Responsible for creation of all commercial proposals for Field Service Business Unit. Responsible for creation of the cost estimate/budget for proposal generation Manage Customer Relationship Management system (CRM) and maintain On Time Delivery of proposal generation (KPI). Receive, review and acknowledge purchase orders or contracts from customers to ensure correlation with proposal. Responsible to create, organize and maintain quotation and field service folders Responsible for creation of hand over documentation for projects execution from Commercial to Operations team. Maintain all entries related to field services in SAP and ensure the accuracy of the data Responsible for initial revenue forecast of projects and report to the Field Services Commercial Manager Responsible for cost monitoring and financial analysis of projects under his/her assignment Assist with creation of customer change orders requests and receiving PO increases when needed. Ensure that all purchase orders or change orders are reflected accurately in SAP Responsible for creation of Purchase requisition in SAP, ensuring Purchase Orders to suppliers are issued Responsible for weekly or monthly billing of projects Responsible to review invoices from suppliers and process payment through SAP and CORA Participate in the weekly WIP finance review of projects Assist accounting department with Monthly, Quarterly, & Annual Closing, including accruals requests Assist accounting department with cash collection with any past due invoice reported in the AR aging report Participate in the review of current Standard Operating Procedures as part of the continuous improvement effort of the Field Service Business Unit Support Field Services Commercial Manager with any Financial and/or Client audits. Other duties, responsibilities and activities may change or be assigned at any time with or without notice. Requirements
A minimum of 3 years progressive experience in business operations related to executive level support within an organization is required. SAP experience Ability to travel to customer site up to 10% of time to support projects execution as needed Preferred Skills
Qualified candidates will possess excellent computer skills with a good experience working with all Microsoft Office applications (Word, Excel, PowerPoint, and Outlook). Smartsheet experience Possess great attention to detail with the ability to solve problems creatively. Ability to work in a multifunctional team. Adapt to changes Physical Demands
Ability to sit and work in front of a computer for majority of the day. Minor lifting of files and/or boxes Work environment
Office environment with occasional assignment at customer site up to 10% of the time a year to support project execution.
