Job Description: The Records Specialist is a hands on role responsible for the physical lifecycle of client records, including retrieval, boxing, transfer, inventory, and destruction in accordance with established retention policies. This position requires regular lifting and maneuvering of boxes, high-accuracy data entry, and consistent use of records management systems and vendor portals. Success in this role depends on attention to detail, reliability, and comfort working in a structured, process-driven environment. This position is in a highly visible area and ideal candidate will be expected to follow all company and client site policies.
Essential Job Responsibilities
Retrieve, box, move, and stage physical files for storage, transfer or destruction in accordance with client retention policies Register new files and track file circulation accurately in the Records Management System (RMS) -
FileTrail . Prepare inactive files for offsite storage, including quality checks Coordinate file transfers and destruction activities with offsite storage vendors (e.g.,
Corodata ), including order accuracy and quality checks Perform regular inventories of onsite and offsite records and reconcile discrepancies between physical files and system records. Physical onsite inventory audits, using a mobile device are due on a quarterly and annual basis Assist with records clean-up initiatives, including triage, categorization, and proper storage or disposition of content Prepare and maintain Excel-based tracking logs, file indexes, and basic departmental activity reports with a high level of accuracy Qualifications & Requirements
High School Diploma or GED required Preferred minimum 1 year of experience in records management, file services or other office support Experience with one or more Records Management Systems (FileTrail, iManage) or similar Basic to intermediate Excel skills, including data entry, tables, filtering, high degree of accuracy preferred Strong attention to detail with a demonstrated ability to stay motivated and maintain accuracy in repetitive and process-driven tasks Good organizational skills with the ability to manage multiple priorities and follow documented procedures and ask questions Clear verbal and written communication skills Physical Requirements
Ability to lift or move 40 lbs. or greater Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs. Ability to walk, bend, kneel, stand or sit for an extended period of time Comfortable working in file rooms, storage areas, and warehouse-style environments
The Compensation range for this role is 19.58 to 24.48 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
