Executive Assistant to the COO / Marketing Assistant Are you a proactive, highly organized individual who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in supporting senior leadership at a high level? Leading Authorities—the nation’s top speakers bureau, video communications firm, and live event company—is seeking an Executive Assistant to support our Chief Operating Officer while also assisting our Marketing team. This role is ideal for someone who combines strong administrative judgment with clear communication, discretion, and an ownership mindset. About the Role
This is not a reactive support role. We are looking for someone who can
manage up , think strategically about calendars and priorities, and operate with confidence and professionalism while supporting both executive leadership and marketing initiatives. You will serve as a trusted partner to the COO and a reliable operational contributor to the Marketing team. Key Responsibilities
Executive Support
Provide proactive logistical and administrative support to the COO, including calendar management, scheduling, correspondence, research, and special projects Manage meeting preparation and ensure schedules run efficiently and on time Act as a communication bridge between management and employees to help ensure priorities, conversations, and projects move forward Anticipate needs, flag potential conflicts, and help protect executive time through thoughtful calendar strategy Exercise sound judgment, discretion, and confidentiality in all executive matters Marketing & Operations Support
Assist with marketing event pre-planning and execution, including on-site support as needed (setup, registration, logistics) Provide data and analytic support to the digital marketing team Create and maintain weekly analytic and performance reports Develop materials to support sales and marketing initiatives Create and update content for the website and social media channels Support process improvement and organization across marketing initiatives General Administrative Support
Handle incoming and outgoing calls and emails Provide additional administrative and operational support as required Core Qualifications
Proactive and anticipatory mindset — you don’t wait to be told what to do High level of discretion and confidentiality Strong judgment under pressure and the ability to prioritize competing demands Excellent written and verbal communication skills Calendar strategy skills (not just calendar management) Comfort saying “no” diplomatically and offering alternatives Strong follow-through, attention to detail, and systems thinking Calm, resilient, and emotionally steady in fast-moving environments Experience supporting senior leaders or multiple stakeholders Experience with events, travel coordination, or stakeholder management Process improvement instincts and interest in building better systems Interest in growing marketing skills and business acumen Qualifications
Bachelor’s degree or equivalent experience Proven ability to manage multiple priorities, logistics, and deadlines simultaneously Strong organizational skills with exceptional attention to detail Ability to work independently and collaboratively across teams
