The Event Marketing Coordinator plays a key role in bringing Billingsley’s events to life by supporting planning, coordination, marketing execution, and on-site operations across our signature destinations, including The Sound at Cypress Waters, The Shacks at Austin Ranch, The Park Room, The Podcast Room, and other community spaces. This is a hands-on, execution-focused role that supports community programming, tenant activations, and private events. You’ll help ensure details are organized, logistics are aligned, and events run smoothly—before, during, and after each experience. This role is based in the Coppell, Valley Ranch, or Las Colinas area and works closely with the Community Relations and Events Marketing Manager, as well as internal property and operations teams. Key Responsibilities

Event Coordination & Execution Support the planning and coordination of public and private events across Billingsley properties and community spaces Assist with the execution of events of all sizes, including community programming, tenant activations, private rentals, and corporate gatherings Provide on-site support during events, including setup, guest check-in, hospitality needs, troubleshooting, and teardown Venue & Logistics Support Assist with venue rental logistics, including inquiries, tours, contracts, certificates of insurance, schedules, invoices, and event documentation Coordinate with vendors such as catering, entertainment, AV, rentals, staffing, and partners to support smooth event execution Help track basic budgets, invoices, and post-event financial documentation Marketing & Content Support Assist with event calendars, online listings, and promotional coordination Support the creation and coordination of graphics, signage, and event materials Capture event content including photos, videos, behind-the-scenes moments, and post-event recaps Operations & Collaboration Collaborate with internal teams such as Security, Janitorial, Landscaping, Engineering, Leasing, Retail, and Property Management to support event operations Assist Property Management with tenant events and tenant-facing community activations as needed Organization & Process Support Maintain organized event resources including contact lists, vendor files, layouts, maps, templates, and photo libraries Help build and maintain checklists, templates, vendor lists, and process documentation Track event notes and assist with post-event feedback and reporting to support continuous improvement Perform other duties as assigned This is an events-focused role that requires flexibility, including evenings, nights, and weekends On-site presence is required during key event execution windows Hours may vary week to week based on event schedules Qualifications

Bachelor’s degree in Marketing, Communications, Public Relations, Advertising, or a related field Experience supporting event planning, marketing coordination, or project management Strong organizational skills with attention to detail and the ability to manage multiple priorities Comfortable working with clients, vendors, and cross-functional internal teams Familiarity with major social media platforms used for event promotion (Instagram, Facebook, LinkedIn, Google platforms, Yelp, etc.) Proficiency in Google Workspace and Microsoft Office Self-motivated, adaptable, and responsive in a fast-paced, event-driven environment Positive, team-oriented mindset with the ability to work independently when needed Bonus Qualifications Basic experience with Adobe Creative Suite (Illustrator, InDesign, Photoshop) Reporting Structure
